Job Summary:

This position will be responsible to validate and reconcile system interface files between various financial databases, and research and resolve inconsistencies and/or discrepancies identified. This position will also assist in the unit call center, researching and responding to providers’ inquiries and requests.

Major duties and responsibilities include but are not limited to:
• Validate and reconcile system interfaced files (Vendor, Invoices, and ACH) independently and report identified failures, report on resolution with proper back up, and bring solutions if unable to resolve. Enter manual invoices in the State accounting system (AZ360) for certified supplemental payment requests. Analyze and prepare log sheets by accurate uses of appropriated funds and rates to process highly time sensitive reconciliation payments/ recoupments to meet federal and state requirements.
• Analyze aged credit balance invoices to determine if they are valid or if due to system problems. Coordinate with other divisions to reconcile and resolve.
• Reconcile and report sub fund Intergovernmental Agreement revenues, expenditures, and cash balances to managers and sister agencies. Complete Internal Transaction Agreement and Internal Exchange Transaction as needed.
• Reconcile monthly OIG reconciliations and report to managers and OIG.
• Run various reports in Info Advantage for Health Plans and management. Prepare log sheet to move aged invoices from prior budget fiscal year to current BFY before fiscal year end.
• Reconcile ACH requests on a weekly basis to follow up on problems/issues with vendor conversions or any other system issue that causes incomplete ACH/EFT enrollment status over 30 days. Assist with returned ACH payment notices from GAO and process cancellations and changes.
• Research and resolve provider requests regarding uncashed, cashed, and staled warrants.
• Research and answer in-bound Call Center provider calls regarding payments, remittances, etc. Refer misdirected calls to the correct department.
• Coordinate and prepare files for archiving following the guidelines.

Knowledge, Skills & Abilities (KSAs):

Knowledge:
• Basic principles, concepts, practices, methods and techniques of government accounting and fiscal management (GAAP,GAAS),AHCCCS rules and regulations
• Mainframe, PMMIS, AZ360, and Control D in order to research provider’s payments
• Financial Data warehouse and reporting tools such as Info Advantage and Cognos to run various reports
• Comprehensive knowledge of reconciliation processes
• Microsoft Office applications including, Excel, Word, Access database, and Google Suite

Skills:
• Creating and updating Excel worksheets and Word Documents
• Google Gmail Suites
• Oral and written communication
• Work techniques required in maintaining records through automated accounting systems and preparing reports and reconciliations
• Build interpersonal relationships as applied to individuals associated with this agency, other State agencies and healthcare providers and health plans
• Compiles data and write report summarizing financial transactions
• Organizational and leadership skills

Abilities:
• Adapt to changing priorities with frequent interruptions, in an efficient and effective manner
• Analyze and validate interfaced data to reconcile, identify issues, and resolve or present solutions on daily basis
• Develop and maintain various information tracking worksheets in Excel and track status on unresolved issues that require follow-up
• Perform multiple tasks and meet established timelines. Coordinate various assignments and establish priorities
• Work independently; work well with other and lead team
• Provide quality customer service

Qualifications:

Minimum:
• Bachelor’s Degree in accounting or a closely related field required.

Preferred:
• Knowledge and experience of robust automated accounting systems.
