Job Summary:

The Arizona Board of Accountancy is seeking a dedicated Administrative Assistant II with top-notch writing, communication, time management, and interpersonal skills to help the Arizona Board of Accountancy fulfill its mission to protect the public from unlawful, incompetent, unqualified, or unprofessional certified public accountants through certification, regulation, and rehabilitation.

Job Duties:

Examination

• Possess an understanding of the requirements to sit for the Uniform CPA Exam.

• Know the timeline and requirements for an applicant to pass the Uniform CPA Exam.

• Be a resource to customers by answering questions regarding the National Association of State Boards of Accountancy (NASBA) and the process of an Authorization to Test (ATT).

• Provide instructions to applicants who wish to request an extension of their Notice to Schedule (NTS) or their Conditioned Credits.

• Provide preliminary review of Initial Exam and Re-Exam applications to ensure completion.

• Understand the timeline for application processing between staff, the Certification Advisory Committee, and the Board.

• Download exam grades from NASBA after each score release and save them in an electronic folder.

• Obtain a list of exam candidates from NASBA who passed the Uniform CPA Exam after each score release and provide congratulatory email communication.

Certification

• Possess an understanding of the requirements for certification by examination, grade transfer, reciprocity, reciprocity by substantial equivalency, reinstatement, and reactivation.

• Provide preliminary review of Certification applications to ensure completion.

• Understand the timeline for application processing between staff, the Certification Advisory Committee, and the Board.

Registration

• Possess an understanding of the eligibility requirements for inactive and retired status.

• Possess an understanding of good cause reasons used for Continuing Professional Education (CPE) extensions and exemptions and understand requirements of CPE reciprocity and fee waivers.

• Process and update residency requirements for those submitting a Statement of Citizenship with their renewal.

• Reconcile online renewals and various exception reports to posted payment and submitted list reports, make appropriate database updates, distribute renewals and exceptions for staff processing, and file.

• Review online renewal reports for newly created automated log-in registration letters and print and mail.

• Have an understanding of registrants who are eligible for an online portal account, review online reports for registrants with an upcoming renewal, and print and mail registration renewal.

• Provide monthly email reminders to CPA and Firm registrants for their upcoming registration deadline.

• Provide support for log-in registration letters and resetting online portal account passwords.

File and records management

• File daily online renewals and web forms that are processed by the front desk and any other filing for the Qualifications team as directed by management.

Customer Service

• Greet visitors including Board and Committee members and the public.

• Manage info@azaccountancy.gov email box and timely respond directly to inquiries or forward for response.

• Manage office phone lines and voicemails and respond directly or forward for response.

• Answer and assist customers with inquiries regarding examination, certification, CPA and firm registration, the complaint process, and/or direct calls as needed.

• Fulfill requests for reproduction of records.

General Administration

• Process incoming mail and distribute it to staff.

• Prepare daily revenue report to record collection of daily non-credit card revenue (e.g., cash, checks, money orders, cashier checks) and create deposits.

• Conduct initial processing of certification web forms and enter payment into ARMS.

• Conduct initial processing initial and re-exam webforms and enter payment.

• Conduct initial processing of cancellation web forms.

• Process name change requests.

• Process change of address requests.

• Process verifications.

• Provide requisition requests for office operations.

• Provide administrative support to Board staff and complete special projects that are administrative in nature.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

• Board policies and procedures.

• Rules and regulations regarding the certification, examination, and registration process.

• Confidential file maintenance and appropriate techniques in screening incoming calls.

Skills in:

• Effective business writing, and operation of a personal computer at an intermediate to advanced level.

• Microsoft suite (i.e. Word, Excel.).

• Oral and written communications.

• Multitasking.

• Customer service.

Ability to:

• Plan, coordinate, analyze, and establish priorities.

• Research and gather data.

• Work in a diverse environment with constantly changing priorities.

• Successfully implement newly learned tasks.

Selective Preference(s):

• Bachelor's degree or at least two years of administrative experience.
