Job Summary:

We have an amazing opportunity to be a part of the largest annual event, attracting more than 1.1 million people at the Arizona State Fair while having fun working!
The Arizona Exposition and State Fair (AESF) is seeking a highly skilled, Accountant 2 to perform advanced, multifaceted accounting and related functions in such areas as ledger maintenance and analysis, cost and/or financial analysis, fund reconciliation, and posting.
Ultimately, you will perform a variety of accounting and bookkeeping duties according to the established GAAP policies and procedures, and the State of Arizona Accounting Manual (SAAM). You will support the CFO in analyzing complex financial and operating data. You will prepare management reports, financial statements, and projections.

Job Duties:

Specific duties and responsibilities includes: Accounts Payable, Payroll, and General Accounting.

Accounts payable

  • Pays monthly bills; prepares and tracks bank wires;
  • Ensures all payments are made timely and are allocated to the proper Arizona Financial Information System (AFIS) and QuickBooks accounts, codes and classes
  • Verifies the accuracy of all invoices prior to payment; verifies receipt of goods and services;
  • Maintains invoice log and alerts CFO of any unexpected variances;
  • Verifies Event entertainers W-9 forms are received, processed and approved; Assists staff in how to properly code Purchase orders.


  • Oversees and processes payroll;
  • Works with HR Director to ensure employee status is accurate;
  • Oversees the Arizona State Retirement System (ASRS) eligibility and informs supervisors of employees who are eligible;
  • Enters payroll information, reviewing accuracy of payroll; generates payroll reports and makes adjustments; ensures that employee electronic deposit forms are on file and information is updated in the Human Resources Information System (HRIS); Oversees the State of Arizona bus cards;
  • Oversees the internal time clock system and assists department heads with time clock related issues;
  • Assists all staff and employees with payroll related questions.

General Accounting

  • Assists with preparations of monthly bank reconciliations and financial reports; Supports the Arizona State Fair's box office; orders bank change for events; Assists CFO in tracking appropriation; assists CFO with Chart of Accounts; Performs periodic and as needed inventory of office equipment and supplies; generates purchase orders for new equipment or arranges for surplus equipment to be removed from premises;
    Develops and maintains necessary spreadsheets;
  • Utilizes computerized accounting software programs (CMS, Excel, Word, G-Suite, AFIS, and QuickBooks) to perform duties and responsibilities;
  • Trains staff on AFIS;
  • Other duties as assigned.
  • NOTE: Flexible weekend and evening schedule required, working long extended hours, holidays and some weekdays during the State Fair season.
Knowledge, Skills & Abilities (KSAs):
  • Excellent mathematical and analysis background;
  • Cash handling experience preferred;
  • Experience with spreadsheets and automated accounting systems including CGI Advantage/AFIS, HRIS, ProcureAZ, APP, and QuickBooks highly preferred; Ability to sort, check, count, and verify numbers;
  • Ability to multi-task, prioritize and work efficiently;
  • Ability to listen, communicate (written and verbal), excellent grammar, spelling and proof reading skills and follow-up effectively with all staffing levels and clients/customers;
  • Ability to work independently, self-starter, energetic;
  • Ability to demonstrate good common sense and sound judgment;
  • Flexibility to adapt to all situations and work varied hours; possibly work weekends or evenings;
  • Ability to use 10-key calculator for a variety of accounting functions;
  • Ability to perform at high levels in a fast paced ever-changing work environment; Ability to anticipate work needs and follow through with minimum direction; Intermediate to Advance computer skills and word processing.
Pre-Employment Requirements:
  • Candidate will possess an Accounting degree or have completed higher-level, college accounting classes. 3-5 years hands-on governmental accounting experience. 3-5 years Accounts Payable and Payroll experience. Preference will be given to those candidates who possess a working knowledge of the State of Arizona Accounting Manual (SAAM); AFIS; ProcureAZ, and QuickBooks.
