Job Summary:

Performs a variety of accounting functions and/or transactions such as data entry, verification, reconciliation, analyzing, researching, and record keeping. Resolves questions and problems presented by internal and external customers. Recognizes public and constituent issues and identifies actions to address such issues, including the involvement of other appropriate ADOT groups.

This position may be available for remote work within Arizona (Two (2) days per week in the office/hoteling).

Job Duties:

Sorting, filing and scanning invoices processed by the unit. Monitoring duplication, reviewing account statements, status requests, rush payments and ensuring all prompt pay discounts are taken when available by properly coding. Requesting additional items when needed.

Resolves questions and problems presented by internal and external customers. Recognizes public and constituent issue and identify actions to address such issues, including the involvement of other appropriate ADOT groups and functions.

Reviews, records, and reconciles vendor invoices using state automated accounting systems while monitoring purchase orders for contract compliance and reporting variances to procurement. Manages past-due inquiries to keep accounts current, and collaborates with internal customers to resolve invoice corrections or documentation issues.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

• Microsoft, Google Suite, and general databases for spreadsheet preparation and drafting correspondence to staff and external departments
• Automated Accounting Systems used for processing contractor and vendor payments.
• Invoice processing procedures, specifically for managing mismatched purchase orders and generating manual payment documents. 
• Accounting and mathematical principles required to ensure accurate payment coding and to calculate fund allocations for processing.

Skill in/with:

• Analytical skills to interpret financial data research and correct errors.
• Critical thinking and problem-solving capabilities.
• Oral and written communication skills to effectively communicate with other units/departments, internal and external customers.
• Attention to detail, strong planning and organization skills, and the ability to multitask, prioritize and deliver results.
• Computer literacy (including intermediate spreadsheet and database skills).

Ability to:

• Collaborate effectively and maintain strong interpersonal relationships to professionally communicate with others.
• Manage time and organization effectively to fulfill job responsibilities in a timely manner.
• Adapt to changing workloads and handle unexpected tasks efficiently. Understand and comply with rules, policies and statutes:
• Comply with rules, policies, and statutes to ensure all financial system entries follow applicable regulations governing data entry.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
