Job Summary:

This position reports to the Foster Home/Group Home (FH/GH) Investigations Unit under the Department of Child Safety (DCS) and is responsible for the protection of Arizona's children. This position performs administrative functions of a standard and confidential nature, and regularly prepares letters/memos, which require knowledge of and involvement in program objectives.

Job Duties:

- Orders supplies, answers phones, and tracks inventory (files and supplies). Maintains filing system and automated case management system.
- Provides administrative support to FH/GH Investigations Units within the Office of Licensing and Regulation (OLR). Prepares, compiles and disseminates letters, memos, correspondence, and excel spreadsheets as requested and required. Schedules interviews and various appointments for DCS.
- Interacts with external (licensing agencies and others) and internal (DCS) customers to resolve inquiries or provide information to appropriate personnel for resolution.
- Assists investigations with record requests, scanning and dissemination of information.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- Principles and practices of administration and management
- Preparation of statistical reports, memos and letters
- Routine filing and handling of confidential information
- Computer programs/software to develop and maintain reports

Skills in:
- Verbal and written communication
- Operating office equipment including faxes, copiers and printers
- Dictation and transcription

Ability to:
- Apply agency polices and procedures
- Multi-task on a daily basis to ensure assignment deadlines are met
- Remain calm in dealing with the public and DCS staff while diffusing the situation
- Gather information
- Maintain and update files
- Follow written and verbal instructions
- Communicate and respond effectively with clients
- Recognize and maintain confidentiality of written and verbal communication

Selective Preference(s):

The ideal candidate will have two years of clerical experience.

Pre-Employment Requirements:

The ability to secure and maintain clearance from the DCS Central Registry.

Bi-Lingual Stipend
DCS offers a Bi-Lingual Stipend to all interested and eligible DCS Employees who successfully complete a language proficiency exam. Qualifying employees will receive a $500 annual stipend paid in equal increments.
