A DCS Administrative Assistant I provides a variety of support services to management and staff in the assigned field office. A day in the life of an Administrative Assistant 1 can look like:
• Inputting case notes, compiling case records and preparing cases for closure
• Prepares general correspondence
• Provide support with scheduling interviews, collect interview paperwork, upload for HR processing, update/manage HR Spreadsheets and PageUp for the section.
• Processing referral packets
• Conducting research, ordering police reports and completing requests for medical/school records
• Monitoring incoming phone calls and forwarding to appropriate units
• Managing the office’s assigned vehicles and sign out logs
• Maintaining filing systems and spreadsheets
• Processing mail.
Knowledge of:
Computers and software (Microsoft Office Suite), mobile devices, digital calendars (Outlook) & video conferencing (Microsoft Teams).
Skill in:
Establishing and maintaining interpersonal relationships; general clerical functions such as, data entry and filing; verbal and written communication; time management and multi-tasking.
Ability to:
Prepare general correspondence accurately in a prescribed format; troubleshoot; take initiative and practice sound judgement.
• High school diploma or GED
• Valid Arizona issued driver’s license.
• Must be able to obtain a valid Arizona Level One Fingerprint Clearance card.
• Must be able to pass a background investigation and DCS Central Registry check.
This position requires driving or the use of a vehicle as an essential function of the job to conduct State business, and the following requirements apply: Driver’s License Requirements.

Bi-Lingual Stipend
