Adoptions & Permanent Guardianship Subsidy

Job Summary:

This position performs administrative functions of a standard and confidential nature, and regularly prepares letters/memos, which require knowledge of and involvement in program objectives.

Bi-Lingual Stipend
DCS offers a Bi-Lingual Stipend to all interested and eligible DCS Employees who successfully complete a language proficiency exam. Qualifying employees will receive a $500 annual stipend paid in equal increments.

Job Duties:

- Receiving, screening, and setting up new cases in Guardian for Adoption Subsidy benefits for children with special needs who are adopted from foster care.
- Maintains and balances data base for payments for special services for Children on approval agreements. Writes and mails letters to adoptive parents requesting additional information, if needed for the prompt and accurate payment of claims.
- Enters information into Lanport, enters time sheet data into FMCS, and completes requisitions for services and equipment.
- Maintains unit letters and forms, assists case managers with letters and forms, completes and disperses office reports.
- Prepared initial adoption subsidy agreements. Prepares case record annual reviews, including maintaining documentation log.
- Processes incoming and outgoing mail, greets walk-in clients, assists clients with application information.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- Department and adoption subsidy program procedures
- Formatting reports and business letters and e-mail correspondence to the public
- Support functions required for this program.

Skill in:
- Excellent written and oral communication skills
- computer, typing, workload management, answering multi-phone lines, business practices, letter writing.

Ability to:
- Prioritize assignments
- Handle multiple important assignments at the same time and follow-through with each of the assignments
- Gather information required for adoption subsidy agreements,
- Follow-through without direct supervision on tasks and responsibility needed to assist unit case managers
- Compose business reports, including entering information into databases such as Excel·

Ability to secure and maintain clearance from the DCS Central Registry
