Job Summary:

This position may be eligible to receive a temporary stipend of 10% in addition to base pay beginning in December 2021. If eligible, the temporary stipend amount will be calculated using the employee's base rate of pay and will be reflected in each paycheck. It is anticipated that this temporary stipend will be available through June 30, 2022.

In this position the candidate provides administrative and secretarial support to the Arizona State Veterans Home/Nursing Department; facilitates communication between Nursing Administration and staff members or departments; assist in the research and completion of special projects; organizes and maintains the Director of Nursing administrative files/correspondence; prepares a variety of correspondence, reports and presentations. Attends meetings and assist in the recruitment process of nursing staff; schedules interviews, conducts reference checks/employment history verifications; prepares hiring packets; covers the facility reception desk during breaks and absences; maintains confidentiality; incorporates culture change in the form of Veteran/Member-centered care in the performance of job duties; performs other job related duties.

Job Duties:
  • Provides administrative and secretarial support to the Arizona State Veterans Home/Nursing Department.
  • Facilitates communication between Nursing Administration and staff member or departments; screens and sorts department mail, telephone messages, email and faxes and routes accordingly.
  • Verbally responds to inquiries from the nursing staff, other departments, agencies and the public.
  • Assists in research and completes special projects.
  • Organizes and maintains the Director of Nursing’s administrative files/correspondence; prepares a variety of correspondence, logs, reports and presentations; tracks assignments and follows up in pending matters.
  • Attends meetings and takes/transcribes notes; assist in development and modification of policies, procedures and forms.
  • Assists in the recruitment process of nursing staff; schedules interviews, conducts reference checks/employment history. verifications; prepares hiring packets.
  • Covers the facility reception desk during breaks and absences; assists in planning, reviewing and refining office management practices; and orders offices supplies and other items according to state Procurement rules and agency policies/procedures.
  • Attends meetings and in-services training.
  • Maintains confidentiality.
  • Learns, implements and monitors Arizona Management System (AMS)methods, and utilized AMS concepts and tools for problem solving and continuous work/process improvements and efficiencies.
  • Performs other job related duties as assigned.
