Job Summary:

This position is responsible for performing administrative duties for the Arizona Division of Occupational Safety and Health. The Administrative Assistant performs data entry; responds to telephone calls; prepares and creates correspondence, tracks and mails documents concerning conveyances and boiler inspections; handles filing; and assists the Bureau Chief and Elevator Inspectors in tracking correction orders, violations and pass due inspections.

Job Duties:

The individual appointed to this position will be responsible for entering information into the ADOSH Conveyance database; generating annual and monthly inspection reports; preparing correction orders; supporting the Elevator Section i.e., researching data, preparing correspondence and following up on incoming inspections reports, new installations, modifications, repairs and correction orders; entering data into the Jurisdiction On-line (JOL); assisting external customers with resetting JOL passwords; preparing for Boiler Advisory Meetings, notifying the Board of upcoming meetings and taking notes for meetings; sorting incoming mail and faxes; assisting in preparing public requests and other correspondence for outgoing mail for the Division; recording new boiler insurance Special Inspector information; assign Inspectors AZ commission numbers, issue Special Inspector Certificates and work cards; and correspond with insurance supervisors.

Knowledge of:
The Arizona Elevator Act and related Codes, Standards and Rules
Arizona State Boiler Rules and related Codes, Standards and Rules
Industrial Commission of Arizona Policies and Procedures
Grammar, spelling, punctuation and sentence structure
Appropriate business letter formatting
ADOSH forms
Windows, Word, Excel, Access and Google Suite

Skill in:
Editing and formatting
Time management
Answering telephones in a professional manner and directing calls
Organization
Interpersonal relations
Filing

Ability to:
Communicate both verbally and in writing
Establish and maintain cooperative and effective working relations with others
Recognize and engage those with different backgrounds, characteristics and perspectives to bridge gaps in understanding of differing viewpoints, as well as ensuring persons with diverse perspectives are given input in the direction making process.
Work with large numbers and records accurately

Selective Preference(s):

The ideal candidate will have:
Data entry experience and Administrative experience.

Retirement:
