Job Summary:

Under general direction, performs a variety of administrative functions of moderate difficulty and serves in a staff capacity to the Development Engineer and other Central District team members. Provides administrative support and office-related administrative activities, e.g. sort and distribute physical and electronic mail, use of standard office equipment, prepare and submit purchase orders related to office supplies and/or construction projects, professional memberships, and continuing education courses and training. Respond to all electronic, telephone and written messages from internal and external customers. Schedule in-person and virtual appointments and meetings. Maintains numerous filing systems, some hard copy and mostly electronic. Some assistance in the processing of vehicle fleet management and other actions. Other duties are assigned as related to the position.

Job Duties:

Performs a variety of administrative tasks that includes research, special projects and report preparation. General office duties. Phone coverage, provide customer service, process mail distribution, and process purchase orders. Responds to related questions from various internal and external customers. Researches and gathers data for preparation of reports and special projects

Responsible for purchasing and provides oversight of office/project procurement actions. Procurement computer programs. Enter purchase requisitions, purchase orders and receivers into the system to initiate purchase and/or payment; and modify documents as needed. Good knowledge of computer systems and associate business/office software.

Interprets agency rules, regulations and responds to related questions from the public; investigates consumer complaints and resolves problems or refers to appropriate supervisor; modifies routine procedures to improve process effectiveness; prepares a variety of reports; coordinates administrative matters within the department . Assist with facilitating and scheduling of meetings; preparation of required notifications, correspondence, agendas, minutes, and facilities. Acts as the primary contact to the public and private entities visiting the district office

Knowledge, Skills & Abilities (KSAs):

KNOWLEDGE OF:

  • Attends training to maintain and enhance technical skills.
  • Perform special projects and other duties as assigned. (to include, but not limited to: business math, accounting principles and practices, and English/grammar).
  • Good knowledge of agency rules, regulations and operating procedures. This includes, but not limited to: on-line research to obtain contractual information, such as vendor, price, minimum quantities, delivery information, etc.
  • Enter purchase requisitions, purchase orders and receivers into the system to initiate purchase and/or payment; and modify documents as needed. computer systems and associate business/office software.

SKILLS IN:

  • Establishing and maintaining interpersonal relationships and customer service.
  • Excellent verbal and written communication.
  • Experience with research and problem solving techniques.
  • Maintaining a high level of confidentiality.
  • Moderate/expert experience with MS Office, Google Space.
  • Moderate/expert experience with PDF documents: editing, converting, combining page adds, page extracts

ABILITY TO:

  • Work in a business/professional environment with the ability to perform multiple tasks, communicate effectively, and comprehend directions.
  • Plan and organize personal workload to effectively meet assigned deadlines.

  • Handle multiple projects at various stages simultaneously.

Selective Preference(s):

Three years responsible administrative experience; or Bachelor's degree in a field appropriate to the assignment from an accredited college or university and two years responsible administrative experience; or Master's degree in a field appropriate to the assignment from an accredited college or university and one year responsible administrative experience.

Pre-Employment Requirements:

Valid Arizona Driver License is required - driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
