Job Summary:

This position resides within the General Services (GS) unit of the Director’s Office of Business and Financial Services Division and reports to the GS manager. In this role, you will support the agency’s front desk, this includes greeting visitors, receiving, and navigating calls, maintaining multiple calendars for appointments, sort mail, and issue security badges. You will also support all General Services activities including fleet duties, mail room operations, front desk, and various special facility projects.

Job Duties:

• Answering telephones, badging, greeting visitors and customers, receiving deliveries, and reporting building maintenance service requests.
• Facilitating building requests, keys request, writing emails, creating graphs, data entry, reviewing reports and creating reports.
• Driving a state vehicle for service requests, facilitating and coordinating vehicle reservations, maintain vehicle logs, working with vendors.
• Internal and external mail delivery, asset tagging, Arizona Procurement Portal (APP) data entry, shipping and receiving packages, and creating reports.
• Special projects, such as Surplus AZ State property, AZ State Capital Treasury and ADOA warrant runs.

Knowledge, Skills & Abilities (KSAs):

• Knowledge of the principles and practices of administration and management and budgeting procedures
• Working knowledge of or the ability to learn Inventory asset management; data entry; building key management; shipping guidelines and requirements for US Postal Service, UPS, and FedEx; Google Drive,
• Excellent verbal and written communication; active listening and interpersonal skills
• Skills in organizing and maintaining records, electronic files, and databases; creating metrics and measuring the team's performance
• Skills in scheduling appointments and maintaining calendars
• Skills in inventory tracking, analyzing, organizing office equipment and inventory
• Ability to Establish plans and procedures for team activities; interpret policies and guidance related to the position
• Ability to research, analyze, and provide recommendations to solve problems; write and speak with clarity and effectiveness
• Ability to work with others, communicate effectively with internal staff at all levels, other State agency staff, and vendors
• Ability to Multitask different projects and prioritize; work independently, organize, plan, and problem-solving.

Selective Preference(s):

• Three years responsible administrative experience; or Bachelor's degree in a field appropriate to the assignment from an accredited college or university and two years responsible administrative experience; or a Master's degree in a field appropriate to the assignment from an accredited college or university and one-year responsible administrative experience.
• Proficiency with Google, Google Drive, and Microsoft Office product
• Experience with Trello Board is helpful
• Driver’s license required - possession of and ability to retain a current, valid state-issued driver's license. Employees who drive on state business are subject to driver's license record checks. Must maintain acceptable driving records and must complete any required driver training.
