The Arizona Attorney General’s Office Civil Litigation Division/Bankruptcy and Collections Enforcement Section is seeking an Administrative Assistant I to provide administrative and clerical support for BCE attorneys, legal staff and collectors, including but not limited to: scanning, copying and filing memos, correspondence, pleadings, and other documents; handling incoming/outgoing faxes; data entry; drafting correspondence; downloading, logging, and filing minute entries; E-filing pleadings; updating pleading backers; preparing outgoing mail; and date stamping and distributing incoming mail.
This position will assist with a variety of administrative and clerical tasks, including handling correspondence; creating folders and notebooks for cases; assisting with archiving closed files; retrieving files from and returning them to the file room; and maintaining office supplies.
Organize and maintain file room; locate and return files to file room; and deliver to and pickup documents from client agencies.
* Knowledge and understanding of principles and practices of performing administrative functions of a responsible nature.
* Must demonstrate a proficiency in computer skills including but not limited to MS Word, Excel, PowerPoint and Adobe Acrobat.
* Knowledge of computer databases and ability to update and maintain information.
* Knowledge of procurement practices, accounting and budgeting procedures.
* Knowledge of principles, concepts, practices, methods and techniques common to a modern law office.
* Word processing and transcribing skills.
* Typing 50 wpm.
* Interpersonal relationships.
* Managing and handling a work load under pressure with multiple deadlines.
* Skill in oral and written communication.
* Skill in composing various correspondence and documents.
* Grammar, punctuation, spelling, basic editing, formats of a wide variety of documents.
* State and office procedures for procurement and travel policies.
*Ability to operate word processing for preparation of legal documents.
*Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
*Ability to organize, prioritize and perform varied tasks and track multiple deadlines simultaneously.
*Ability to compose correspondence
*Ability to assist attorneys
*Ability to operate telephone system
*Ability to use tact and diplomacy in dealing with other agency employees and high-level public officials.
Three years responsible experience in a position requiring skill in oral and written communication, initiative, judgment and independence in the performance of duties; or a Bachelor’s degree from an accredited college or university.
• Travel may be required for this position. A valid Arizona Driver’s License is required, along with consent to have your driving record run periodically.
