Job Summary:

The Arizona Attorney General’s Office Child and Family Protection Division is seeking an experienced Administrative Assistant to provide support for one or more Assistant Attorneys General in the Child Support Services Section.

Job Duties:

Job duties may include, but are not limited to logging cases in and out of the office and creating working files; gathering and organizing working files for upcoming hearings; cross-referencing cases against calendars provided by the court and case management database; assisting with trial preparation; obtaining documents from court personnel and records department; following through with post-hearing documentation; entering calendar events, deadlines, and case activities in case management database (ATLAS) to track progression of activities, reflect case status and generate follow through action; filing documents in the appropriate working files; organizing and scanning case-related documents into the imaged case file; logging incoming correspondence into ATLAS; mailing case related documents to parties; answering and routing telephone calls on a multi-line phone system and taking messages as appropriate. Additional duties include processing incoming correspondence including legal documents from the process server and electronic minute entries; documenting and researching returned mail; and greeting and assisting the client. Duties involve reviewing, creating and processing materials and information confidential by Federal and State Laws.

Knowledge, Skills & Abilities (KSAs):

Knowledge Needed
• Knowledge of computers, Microsoft Office software and a variety of databases and websites.
• Experience operating multi-line phone systems.

• Ability to plan, analyze and coordinate a variety of activities and established appropriate priorities
• Ability to interact positively with client, public and co-workers.
