Job Summary:

The Department of Economic Security, Division of Employment and Rehabilitation Services (DERS) performs an integral role in improving Arizona’s workforce by assisting individuals who are unemployed or underemployed, and those with barriers, to prepare for and obtain meaningful employment. DERS supports Arizona employers with recruitment assistance by connecting them to a skilled workforce.

We are seeking an experienced and highly motivated individual to join our team as an Administrative Assistant III with the Information Technology (IT) Section. This position serves in an administrative staff capacity to the Division of Employment and Rehabilitation Services (DERS) Information Technology (IT) Section. Is responsible for providing up-to-date information relating to all administrative duties within the IT sections.

Job Duties:

• Assigns and monitors all requests for information and actions; sends reminders to staff and documents all responses; distributes assignments to staff; edit and proofread correspondence for proper format, grammar, punctuation, and spelling.
• Responsible for tracking personnel related documentation.
• Provides assistance for the DERS IT Sections, in regard to personnel rules and regulations.
• Assists with updating YES profiles and ensures HRIS information is accurate for DERS IT staff.
• Schedules and maintains calendar appointments for Workforce IT Manger.
• Schedule and Host meetings for all DERS IT staff conference calls and/or web meetings.
• Maintains DERS IT conference rooms.
• Maintain IT Workforce Library.
• Attend Mail and Print Meetings.
• Responsible for ProcureAZ, ordering supplies, printer leases, printer maintenance and shared bins DERS IT sections.
• Serves as Timekeeper Proxy for Employee Time Entry (ETE) for tracking time sheets.
• Also responsible for all in and Out of State Travel, approvals, scheduling flights and all required forms/documentation.
• Responsible for keeping mail room vendor's ink cartridges, inventory and mailings.
• Assist in Data Security, Working with Data Sharing Agreements, type letters, labels, shredding of old files and general filing.
• Assist Inventory Control with Loaner equipment and J-320's.
• Responsible for assisting and reminding staff to ensure that deadlines are met. Assist DERS IT in reconciling the annual position control reports.
• Other duties as assigned.

Knowledge, Skills & Abilities (KSAs):

• Knowledge of DES general policy and procedures.
• Good knowledge of state and federal rules and regulations governing the Workforce IT.
• Knowledge of DOA/DES Personnel Policies and Procedures.
• Excellent organization skills.
• Good analytical and reasoning skills.
• Excellent oral and written communication skills.
• Analyze and prioritize assignments; work independently; adapt to constantly changing priorities.
• Ability to effectively gather data and problem solve.
• Ability to exercise discretion when dealing with confidential issues.
