This position would mainly require you to be present in the office, at least three-days a week. While there is some flexibility in the days worked, you would be required to be present for the Board meetings held the 3rd Tuesday of each month.
Overall, the Arizona State Board of Funeral Directors & Embalmers oversees approximately 1800 licensees practicing in the state and serves all Arizona citizens who receive funeral goods and services.
The Administrative Assistant III for the Arizona State Board of Funeral Directors & Embalmers will be responsible for serving as a liaison for the Continuing Education (CE) Advisory Committee to include preparing agendas, minutes and review CE material, submitted for Board approval.
Additionally, this position will oversee contract employees, perform various record keeping, inventory control and track public records requests and complaint submissions while serving as a point of contact for both licensee and consumer inquiries via telephone, in person, email and internet.
This position will perform extensive computer work including modifying the agency website and will handle various office equipment.
The Administrative Assistant III will serve as support staff for the Executive Director, Investigator and Licensing Administrator and will support the Arizona State Board of Funeral Directors & Embalmers by:
• Working with and updating the online E-Licensing system to input information and upload pertinent documents and disciplinary actions
• Uploading and communicating necessary reports to licensed community, consumers and other state agencies
• Assisting in processing applications, including reviewing and approving renewal applications
• Responding to requests and inquiries from the general public, licensees and CE providers
• Assisting in preparing for Board meetings and CE Advisory Committee meetings
• Interpreting laws, rules and regulations as they pertain to the agency
• Updating the agency website
• Regulatory agency, management, policy and procedures
• Administrative functionality of a state agency
• Computer software to include Microsoft Office and Google Suite
• Basic computer and office equipment
• Oral and written communication
• Function professionally while working and speaking about sensitive information (death and death related topics)
• Communicate effectively with a diverse group of people face-to-face or via written correspondence
• Actively participate in activities; suggesting improvements to improve efficiency of the agency
• Show extreme compassion and patience with consumers who may be in distress
• Operate office equipment and work remotely with a laptop, if necessary
• Plan, coordinate, analyze and prioritize a variety of work projects
• The ideal candidate will be bilingual (English/Spanish)
• Employees who drive on state business are subject to driver license record checks, required to maintain acceptable driving records and complete any required driver training (see Arizona Administrative Code R2-10-207.11)
• Requires possession of and ability to retain a current, valid state-issued driver license appropriate to the assignment
