Job Summary:

The Department of Economic Security, Division of Employment and Rehabilitation Services (DERS) performs an integral role in improving Arizona’s workforce by assisting individuals who are unemployed or underemployed, and those with barriers, to prepare for and obtain meaningful employment. DERS supports Arizona employers with recruitment assistance by connecting them to a skilled workforce.

We are seeking an experienced and highly motivated individual to join our team as an Administrative Assistant 2 (AA2) with the Child Care Administration (CCA). This position is responsible for providing administrative support to CCA Leadership, Administrative Staff as well as the CCA staff statewide. This may include a variety of administrative tasks including research, special projects, generating reports, preparing correspondence, complex presentation packets, agendas, and minutes.

Job Duties:

• Process requisitions, receivers, and approvals for payment of supplies for all CCA staff, state- wide, through the Arizona Procurement Portal (APP) system; ensure supplies are ordered timely to meet staff needs, receipt of goods is confirmed and documented by recipients, invoices are paid timely; and troubleshoot incorrect invoices or delivery of goods
• Assist the Human Resource Liaison with scheduling candidates for interviews, prepare interview packets, and confirm receipt of all necessary documents for each candidate
• Serve as car steward for state vehicles, which includes maintaining vehicle logs and making sure that the vehicle is serviced as mandated by ADOT regulations

Knowledge, Skills & Abilities (KSAs):

• Knowledge of complex office procedures and practices; method and procedures for researching files to obtain specific information; business English, spelling and mathematics; style and format of business correspondence, reports, and memos; office policies and procedures sufficient to perform limited discretionary tasks; positive, results-orientated customer service technique
• Skill in operating a computer, creating, and typing business correspondence in answer to internal and external requests; collecting and organizing data; screening and routing incoming correspondence and requests; working with diverse staff and the public using appropriate professionalism and problem-solving technique; adhering to boundaries of confidentiality
• Ability to perform varied and complex administrative tasks; research files; perform mathematical calculations; collect and organize data; work with staff and the public using appropriate professionalism and problem-solving technique; diffuse potentially hostile situations; prioritize projects; exercise initiative during slow work periods; communicate effectively both verbally and in writing

Selective Preference(s):

• Two years responsible administrative experience
• Bilingual, Spanish

Pre-Employment Requirements:

• Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired State employees.
• Successfully pass background and reference checks; employment is contingent upon completion of the above-mentioned process and the agency’s ability to reasonably accommodate any restrictions.
• The position will require a current, valid Arizona Driver’s License. Travel may be required for State business. Employees who drive on state business must complete any required driver training (see Arizona Administrative Code R2-10-207.12.) and have an acceptable driving record in accordance with DES Fleet Management-Safety Program policy and procedures (DES 1-07-26 & DES 1-07-26-01). Employees may be required to use their own transportation as well as maintaining valid motor vehicle insurance and current Arizona vehicle registration; however, mileage will be reimbursed.
