Job Duties:
  • Manage the front desk, greet visitors, handle mail and answer calls.
  • Create and process purchase orders under $5,000.
  • Review and process telephone bills & Fedex bills.
  • Order business cards from Arizona Department of Education printing and assist staff with specific printing orders as needed.
  • Receive office supplies orders and inventory office supplies.
  • Liaison to Arizona Department of Administration, Information Technology, Human Resources and Accounting for GOYFF needs.
  • Support for all GOYFF events, meetings, and activities as appropriate.
  • Manage the master calendar for meetings, events and staff leave.
  • Responsible for providing administrative support for all GOYFF Governor appointed councils and commissions including: The Arizona Human Trafficking Council, the Arizona Juvenile Justice Commission, The Arizona Parents Commission, The Commission to Prevent Violence Against Women, The Council on Child Safety and Family Empowerment; The Governor’s Commission on Service and Volunteerism; The Governor’s Youth Commission; the Governor’s Advisory Council on Aging and the Arizona Substance Abuse Partnership.
  • Ensure meeting set-up for council or commission is completed including, meeting room, audio visual, and information technology equipment and meeting materials.
  • Engage and participate in the Arizona Management System (AMS) process.
Knowledge, Skills & Abilities (KSAs):
  • Knowledge and experience in administrative procedures.
  • Excellent oral and written communication skills.
  • Attention to detail as well as a desire to provide accurate and complete work products.
  • Ability to work independently, exercise decision-making skills, self-directed and motivated.
  • Computer software experience including Word, Excel, Access, and Google Work applications.
  • Flexibility to support a variety of Division projects.
  • Working knowledge of minute-taking and meeting protocols.
  • Capacity to work independently as well as part of a team to accomplish common goals.
  • Excellent organizational abilities.
  • Present a positive attitude.
