Job Summary:

The Arizona Exposition and State Fair is seeking a dynamic Administrative Services Officer 1 to provide high-level administrative event support. In this phenomenal role, you will oversee and assist other supervisors in hiring temporary event personnel by determining staffing levels required for the event.

Job Duties:

You will ultimately be responsible for:

  • Scheduling temporary event staff as needed;
  • Supervising of temporary event staff with ongoing training;
  • Development and implementation of procedures as well as training materials/programs for the event staff ;
  • Departmental payroll verification and biweekly submission of payroll;
  • Preparing reports and daily briefing sheet, leading daily and departmental briefings as required;
  • Attending meetings with management, staff and/or promoters; coordinating event activities with other departments;

NOTE: This position requires flexibility with work. Work schedule will vary based on the events scheduled onto the property. Typically, during event season, the position will work three or more days during the work week plus weekends and holidays. Hours during an event may extend beyond 8 hours and may be long.

Knowledge, Skills & Abilities (KSAs):
  • Exhibit “strong” communication skills with the ability to stay calm and professional in stressful situations;
  • Excellent customer service skills required;
  • Ability to analyze situations and respond quickly accordingly;
  • Ability to think strategically and be a self-starter, working independently with little supervision;
  • Great follow through while understanding and communicating to others accordingly, both written and verbal;
  • Ability to develop effective operating procedures and apply that training;
  • Analytical and creative problem solving skills required;
  • Detail oriented with strong organizational skills to maintain different sectors in scheduling and event supervision;
  • Manage multiple projects and deadlines simultaneously;
  • Ability to use two-way radio in performance of duty;
  • Considerable knowledge of agency rules and regulations
Selective Preference(s):
  • Minimum Qualifications:
  • Minimum of 5 years’ mid-management level experience in special events;
  • 2 years' managing Event temporary staffing for Customer Service Representatives and Box Office;
  • Experience in management of at least 500 temporary employees;
  • Experience in developing customer service programs;
  • Experience in management of concert seating/ushering or other major events at an arena setting with at least 10,000 seats;
  • Experience staffing for events with an attendance of at least 15,000 people per day;
  • Experience managing a paid parking lot and staff for a parking lot or structure with multiple entrances and at least 5,000 spaces;
  • Experience in developing and implementing training programs.
