Job Summary:

This position is responsible for a broad range of administrative duties within the Information Technology Group, including recruitment administrative tasks, division operations administration, and coordinates communication within assigned units. Will provide backup support to the ASO2.

This position is required to handle sensitive and confidential information and situations with the utmost discretion.

This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Supports Management as an HR liaison maintaining confidentiality of all personnel issues and will manage recruitment including preparing
interview documents, hiring, reference checks, position classifications, salary changes, on/off boarding.

Arizona Management System unit metrics and other duties: Collect data and report metrics to ensure projects are on time. Gather and support
the AMS process through posting metrics, finding continuous improvements and participating in continuous improvement processes and events.

Maintaining the divisions organizational charts, and ensures staff meet mandatory training requirements.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
* Procedures analysis techniques and principles.
* Knowledge in using the Human Resources Information System (HRIS - HR & Payroll) and the Procurement system.
* Computer database and spreadsheet applications, compilation of data.
* Lean/Continuous Improvement practices and methods.
* Google Workspace.

Skill in:
* Write and speak with clarity and effectiveness.
* Strong customer service skills.

Ability to:
* Demonstrated ability to balance, prioritize and organize multiple tasks.
* Work collaboratively in teams and across organizations.

Selective Preference(s):

Two years responsible administrative experience equivalent to or above the Administrative Assistant III level in such fields as personnel, budget analysis, purchasing, accounting, or related administrative work.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
