Job Summary:

We are seeking a highly motivated and detail-oriented Administrative Services Officer 2 (ASO2) to join our Business & Finance Unit within the Mission Partners Division. ASO2 is under the direction of an Accounts Payable Manager and is an integral part of our Accounts Payable team. This position will collaborate across the entire Business & Finance team.

This position is available for remote work on a full-time basis within Arizona (including virtual office arrangements).

Job Duties:
  • Direct and participate in a variety of administrative and business management functions.
  • Manage and execute functions related to: 
    • Invoice approvals & other expenditures
    • Encumbrances
    • Assets
    • Expense transfers
  • Oversee the business aspects of purchase orders, invoices, budgets, and travel reservations.
  • Ensure the quality of the work products is acceptable and accurate, standard work is followed and meet all established deadlines.
  • Lead and participate in problem-solving initiatives to ensure Business & Finance processes are current, efficient, and consistently followed.
  • Analyze and process purchase related requests; manage encumbrances, budget and other related division fiscal/business requests.
  • Follow state and agency policies for all applicable purchase requests, including credit card use.
  • Utilize the procurement system for review and entry of all requisitions, which includes determining appropriate contracts.
  • Utilize the planning and financial systems for review, planning, performance and entry of all budget, which includes determining the appropriate funding codes and sources.
  • Analyze and ensure invoices are moved forward for payment.
  • Work with Suppliers and/or program staff to ensure the agency receives timely and accurate invoices.
  • Be knowledgeable about updating standard work and assist with related tasks to management of these documented processes.

Selective Preference(s):

• Bachelor’s Degree in Business, Finance, Accounting, or an equivalent related discipline. (Master’s degree may substitute for 2 years’ experience).
• Two years responsible administrative experience equivalent to or above the Administrative Assistant Ill level in such fields as personnel, budget analysis, purchasing, accounting, data processing or related administrative activities.
