Job Summary:

The Arizona Attorney General’s Office State Government Division/Employment Law Section is seeking a Legal Secretary II.

Job Duties:

Provide legal secretarial support to the Section Chief and attorneys in the Employment Law Section. Position responsibilities include assisting with legal and administrative duties such as accurate and timely preparation of a wide variety of legal documents, legal correspondence, mailings and copies, maintenance of legal records/files and case management system; as well as accurate and timely completion of docketing, calendaring, filing and appropriate administrative support. Responsible for handling a wide variety of phone calls, correspondence and visitors. Provide coverage and backup for other support staff.

Knowledge, Skills & Abilities (KSAs):

• Knowledge of the attorney/client relationship, including the need for confidentiality and discretion.
• Knowledge of technical legal terms, formats and wide variety of legal documents.
• Knowledge of rules and procedures of all Arizona State courts and a variety of federal courts.
• Knowledge of the sequence of legal actions sufficient to answer a variety of detailed inquiries.
• Knowledge of legal notices and forms sufficient to complete them from marginal notes, standard paragraphs, verbal/written instructions, and/or similar forms.
• Knowledge of State and office procedures, including the acquisition of case-related expenses and current travel policies.
• Knowledge of the use of various pieces of office equipment, i.e. fax machine, copier, scanner, printer, etc.
• Skill in grammar, punctuation, spelling and editing;
• Skill in the operation of various pieces of office equipment, including personal computer, printer, copier, scanner, fax machine, etc.;
• Skill in handling detailed work with accuracy and speed;
• Skill in performing broad administrative support functions;
• Skill in monitoring legal requirements and deadlines;
• Skill in composing a wide variety of complex legal correspondence, petitions and briefs;
• Skill in responding to a variety of inquiries concerning the progress of legal actions, and in providing information regarding proper procedures.
• PC and internet literate, proficient with MS Word and Outlook.
• Ability to compose routine correspondence;
• Ability to prioritize workload to include timely filing and file organization;
• Ability to work independently, with minimal supervision;
• Ability to proficiently use a personal computer, e-mail, the internet, electronic case filing systems as well as electronic case management and document management software;
• Ability to use word processing programs for quality document production;
• Ability to respond to inquiries with tact, diplomacy, and appropriate timely information;
• Ability to engage and maintain effective interpersonal communication;
• Ability to effectively report on the progress and needs of support staff training;
• Ability to exercise good judgment. Ability to get along and work well with others.

Selective Preference(s):

Legal Secretary experience in employment defense litigation and/or complex civil litigation.
