Job Summary:

The Arizona Historical Society is seeking an Facilities Coordinator to oversee janitorial, maintenance and repairs to all HIA structures, overhead and interiors. Major responsibilities of the role include supervising tasks in maintenance, repair and replacement activities involving electrical, plumbing, carpentry, painting, masonry, heating and cooling. Responsible for compliance with procedures, policies, work, work methods and safety of assigned personnel and equipment. Has the authority to inspect and recommend repairs of buildings, utilities services, tools and equipment.

This position is responsible for delegation supplies, tools and machines in all shops. Assures proper quality and quantity of supplies for janitorial, maintenance and repair activities for all facilities. Plans, assigns and evaluates work activities. Supervises Building Maintenance Technicians; plans work schedules; Ensures staff are appropriately trained, buildings and utilities service systems in operation and compliance with National and local building codes. Prepares and submits reports as requested. Responsible for accomplishing all tasks in a timely and efficient manner. Devises work schedules for self and subordinates, coordinating with vendors as needed. Inspects work areas to determine any problems or hazards to work functions taking appropriate action to resolved. Assigns basic preventive maintenance; arranges periodic services and repairs. Communicates information that is helpful in shared work uni-system. Confers with superior, presenting and resolving difficult problems or questions, discussing plans and actions to be taken, participating in decision making.

Responsible for scheduling workload for subordinates, writing and updated applicable SOP's. Attends section staff meetings; directs discussions, explains, listens and guides problem solving processes, resolves conflicts. Attends staff meetings under direction of work supervisor.

The ideal candidate must be familiar with state & local codes for building (UBC) & plumbing (UPC). Has experience supervising a team of crafts and trade skill professionals. Demonstrated experience in planning, assigning and evaluating work activities related to facilities maintenance.

Job Duties:

-Establish and supervise contracts or trades and crafts personnel to include pest control, alarm services, fire monitoring and multiple locations around the state.

-Prioritize work load. Time phase work assignments using sequential planning, input data into computer. Write and update SOP's, submit purchase requisitions.

-Inspect work of trades personnel, equipment and facilities. Ensure job safety is observed.

-Manages GIP Reports, including detailed estimates, prioritizing requests and obtaining all pertinent information.

-Approves leave, counsels and evaluates employees.

Knowledge, Skills & Abilities (KSAs):

Knowledge:
-Knowledge of the principles and techniques of supervision, counseling, employee relations and work scheduling.
-Knowledge of common and specialized tools, equipment and materials related to work; blueprints, sketches and structural components of building and related utility services systems.
-Methods and practices of preventative maintenance, repair and remodeling. Confines space entry, lock out tag out, asbestos abatement and hazmat handling.

SKILLS:
-Supervision, counseling, employee relations and work scheduling; using and demonstrating use of common and specialized tools, equipment and materials.
-Reading blueprints, sketches and schematics.
-All phases of wood an masonry constructions from digging the stem foundation trench to applying the ridge cap, painting, plumbing, carpentry and electrical.

ABILITY:
-Ability to communicate with subordinates and management;
-Apply and demonstrate methods and practices of preventative maintenance, remodeling, construction and repair.
-Apply, demonstrate and interpret safety practices and national and local building.
-Oral and written communications; interpersonal relationships.
