Our Case Management Specialist position is responsible for a variety of duties and administrative support services to the Executive Hearing Office (EHO), ensuring that hearing cases are created and processed in a timely and accurate manner. This individual will have regular contact with the public as they respond to telephonic, written, in-person and electronic inquiries. This position requires flexibility and adaptability as the emphasis and focus of specific tasks will vary based on the operational needs of the office and department.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:

  • Accurately and timely process incoming hearing requests, motions and inquiries. Identify the type of request received, review and determine initial processing steps. Create physical and electronic case files in the EHO case management system.  Query MVD databases, research records and retrieve documents for initial case creation. 

  • Update physical and electronic case files and databases. Prepare, process and mail notices, orders and correspondence. Document communication in the EHO case management system. Complete tasks timely, ensuring statutory compliance.   

  • Communicate professionally. Answer phones. Interact with stakeholders and hearing officers both orally and in writing. Perform reception duties as necessary and as assigned, including checking in hearing participants, coordinating and directing parties and answering questions. Appropriately and timely elevate issues to the EHO management.

Knowledge of:

  • Hearing Office policies, procedures and legal requirements relative to Hearing Office operations

  • Motor Vehicle Division databases

  • Ignition interlock policy and procedures

 Skills in:

  • Customer service

  • Written and oral communication 

  • Organization and multitasking

 Ability to:

  • Perform data entry in a timely and accurate manner

  • Handle confidential work with discretion

  • Elevate concerns to supervisors

  • Exercise good judgment in interpreting and applying rules or policy

  • Establish and maintain professional and productive working relationships with others

  • Adapt and adjust to a variety of process changes

  • Be flexible as the focus on specific tasks will vary daily based on operational needs of the office

  • Participate in continuous improvement activities

Selective Preference(s):

The ideal candidate for this position will have:

Administrative experience in an office atmosphere including preparing and maintaining reports, data entry and customer service experience.

Pre-Employment Requirements:

This position requires possession of a valid Arizona Class D Driver License. Candidates for this position must complete and sign PART 1 of the State of Arizona Application for Employment at the time of interview, which will allow ADOT to obtain the candidate's motor vehicle record (MVR). The most recent 39-month period shown on the MVR will be reviewed in accordance with A.A.C. R2-10-207.11 (H) and (I). The review must show an acceptable driving record prior to any offer of employment being made by ADOT. Employment is contingent upon an acceptable MVR.
