Job Summary:

This position will provide basic administrative assistance to the Employee Relations/ Equal Opportunity/ Leave Management (ER/EO/LM) team. This position will be the point of contact for the team, maintain administrative files, answer basic intake questions & emails, organize electronic files, route phone calls, etc. This position will assist in the development and updating of standard work and process improvements.

Job Duties:

Answering the phone lines, routing phone calls, and other intake functions for the ER/EO/LM team. Answering basic ER/ER/LM questions. Provide basic information to employees regarding ADOT; such as where to locate forms and other standard information.

Electronic file management & maintaining administrative files. Processing and providing distribution of responses to employee inquiries. Update standard work, processes and procedures.

Gather monthly statistical data and statistical reporting for ER/EO. Also gather statistical data for FMLA, intermittent FMLA, light-duty, paid parental leave (PPL), and accommodations.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Various office automation software to produce a variety of documents (letters/reports/spreadsheets/databases)
  • Administrative principles and practices
  • Basic knowledge of HR functions
  • Development of Standard work

Skill in:

  • Computer proficiency with Google Workspace.
  • Multitasking various responsibilities simultaneously.
  • Operating a telephone system with multiple lines, while taking complete and accurate messages.
  • Organization
  • Strong oral and written communication
  • Performing routine clerical functions to include preparation of correspondences, responding in email communication to basic program questions

Ability to:

  • Manage multiple priorities
  • Exercise good judgment
  • Answer and direct phone calls and emails to the appropriate program area.
  • Communicate effectively using tact and courtesy and possess the ability to plan, organize and meet deadlines.
  • Compare and interpret information
  • Assure that accurate data/information is located and retrievable for future reference.
  • Maintain electronic filing systems for ER/EO/LM Program areas

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
