Job Summary:

• This position is responsible for assisting and supervising a team of ESA Specialists directly with daily workload to ensure productivity levels are maintained and policies and procedures are being followed.
• In-state and out-of-state travel may be required for this position.

Job Duties:

• Supervision of daily staff's workload and activities to ensure policies and procedures are being carried out as intended
• Ensure the accurate approval and denial of applications based on eligibility and develops/provides training to staff as needed, and ensure related policies and procedures are updated as needed
• Responsible for assisting with the approval of applications, processing of account closures, initiating funding and addressing other customer related needs; assist with process improvement and program changes as needed
• Responsible for reviewing and analyzing monthly reporting of program status and individual status of work, including but not limited to; monitoring of calls and coaching staff will be additional responsibilities, responsible for the CISCO phone system, service ticketing system, and daily monitoring of staff utilizing all ESA systems
• Composes internal/external correspondence, coordinates data requests, manages assigned projects for the team, compiles reports, and presentations as needed

Knowledge, Skills & Abilities (KSAs):

• Knowledge in application processing, program eligibility review, and account renewal processes
• Understanding of educational statutes, rules, and processes
• Methods and practices for the effective supervision of professional staff
• Principles and practices of fiscal management, account reconciliation, and/or auditing
• Databases and/or case management systems
• Advanced administrative procedures and systems
• Position requires supervisory experience (graduates of ADE’s Aspiring Leaders program may be considered in lieu of supervisory experience).
• A Bachelor's degree in a related field or equivalent experience is required.
• Effectively supervise and lead staff
• Interpersonal skills to effectively interact with supervisors, peers, and customers
• Direct a comprehensive administrative services program for an organization
• Advanced analytical, problem-solving, and conflict resolution
• Interpreting and communicating regulations and guidelines
• Organizational planning, research, reporting, and time management
• Customer service and team building
• Strong training and presentation skills
• Excellent verbal and written communication
• Intermediate skill in using Microsoft Outlook, Word, and Excel
• Proficiently utilize electronic systems and other tools/resources to organize, track, maintain, and monitor team activities
• Balance workloads and assignments of ever-changing priorities of the team
• Interpret and apply legislative guidelines, program policy, and eligibility
• Clearly communicate legislative guidelines, program policies to staff, and external customers and stakeholders
• Analyze schedules to ensure proper staffing levels that meet business needs
• Complete complex analytical, administrative, and managerial tasks
• Communicate instructions regarding complex and abstract ideas
• Manage, coach, develop, and train team members
• Coordinate and manage staff

• Position requires possession of and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training (see Arizona Administrative Code R2-10-207.12.).
