Job Summary:

Job Duties:

The Executive Assistant supports the Director of GOYFF and GOYFF staff as directed by the Director.

  • Coordinate meetings and events on Director’s calendar.
  • Screen and route calls and correspondence for Director.
  • Coordinate speaking requests for Director.
  • Work with the Communications team to develop materials and binder for speaking engagements and other events
  • Develop briefing documents.
  • Coordinate activities with other departments, agencies, community organizations, stakeholders and business contacts.
  • Provide administrative support for Director’s travel and site visits.
  • Provide logistics and support in the preparation of materials and follow up for all conferences, events and Councils/Commissions.
  • Develop and modify procedures to improve the effectiveness of the office.
  • Interact with constituents, stakeholders and business contacts with courtesy and respect.
  • Engage and participate in the Arizona Management System (AMS) process.
Knowledge, Skills & Abilities (KSAs):
  • Must possess excellent oral and written communication skills.
  • Skilled at organizing work tasks, meeting deadlines and producing accurate and complete work products including research based documents.
  • Ability to work independently, exercise decision-making skills, self-directed and motivated.
  • Computer software experience including: Word, Excel, PowerPoint and the new Google Platform applications.
  • Knowledge of public meeting processes and procedures.
  • Capacity to work independently as well as part of a team to accomplish common goals.
  • Excellent organizational abilities.
Pre-Employment Requirements:
  • Bachelor’s (BA or BS) degree or equivalent required.
