The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as an Executive Assistant. DDD provides individuals with developmental disabilities, and their families, services and supports that are flexible, high quality, and member driven. These services provide individuals with opportunities to exercise their rights and responsibilities of independent decision-making and engagement in the community.

Job Duties:

• Serves as Executive Assistant to the Deputy Assistant Director (DAD) for the Division of Developmental Disabilities (DDD) provides comprehensive project coordination with high-level projects, tracking, managing, implementation and ensures compliance with CMS' 7 Elements of a successful compliance program.
• Develops and maintains spreadsheets, databases, and/or tracking systems to manage project assignments. Performs in-depth research making recommended changes for a variety of topics and areas including federal and state policies, programs, other state operations, operating deficiencies.
• Develops administrative policies and procedures and produces position papers and status reports. Provides technical assistance and guidance on various topics and assignments. Assists the DAD with tracking deadlines and assessing, monitoring, and ensuring contract compliance.
• Tracks and coordinates with Human Resources the status of critical needs justifications, completion of position descriptions, recruitment and hiring of positions within the division. Provides status reports, verbal and written, on outstanding issues assigned to staff.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
• Creation, development, writing and editing of high-level business communications
• Procedure analysis and policy development
• Basic accounting and budgeting concepts
• Data gathering, summarization methods, and report preparation
Skilled in:
• High-level skills in analyzing, problem solving and decision-making
• Excellent oral and written communication skills including graphic presentation of information/data
• Establishing and maintaining effective working relationships including other governmental entities
• Analyzing and comprehending complex issues by extracting and manipulating data from multiple and diverse resources
Ability to:
• Provide professional executive level administrative and technical support in program policy, development and implementation
• Review and evaluate program activities analytically and develop effective work plans and methods for improvement
• Handle highly sensitive and confidential assignments and situations including legal or personnel related matters
• Coordinate and track projects/assignments from start to completion
• Act as a liaison between higher executives, other employees, and inter- and intra- agency for the division

Selective Preference(s):

• Combination of education and work experience showing three to five years of progressively higher-level executive or administrative responsibility with senior level management experience.
• Experience in state government preferred.

Pre-Employment Requirements:

• In-state travel may be required. This position requires possession of and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driver training
