Job Summary:

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is seeking a highly skilled administrative professional to support the Assistant Director of the Facilities Management Division. This key position provides comprehensive administrative and operational support across a wide range of functions requiring strong technical, organizational, analytical, and management skills.

The successful candidate will play an important role in supporting the division’s daily operations and long-term organizational goals. Responsibilities include assisting with fiscal and operational planning, conducting research and program studies, analyzing processes, and recommending improvements to address deficiencies, enhance efficiency, and strengthen services provided to the public and ADCRR staff.

 

Job Duties:
  • Provides staff support and technical assistance to the Assistant Director in interpreting rules, regulations, and policies
  • Researches and responds to a wide variety of issues, including reviewing and making recommendations related to staff, projects, audits, employee grievances, investigations, and EEO complaints
  • Compiles data, writes reports, and prepares responses for staff, offenders, and the public
  • Conducts research and responds to correspondence requiring the Assistant Director’s signature
  • Writes and edits correspondence and prepares comprehensive reports
  • Exercises signature authority as authorized
  • Composes and edits correspondence, reports, and position papers for the Director’s signature
  • Coordinates extensive travel arrangements, including processing travel claims and reimbursements
  • Maintains the Director’s calendar and coordinates and schedules meetings and appointments
  • Participates in executive-level meetings to identify and analyze problems and recommend and implement solutions
  • Participates in long-range organizational planning
  • Works independently with minimal supervision
  • Performs other duties appropriate to the assignment
Knowledge of:
  • State and federal rules and regulations, ADOA personnel rules and departmental policies and procedures; mandates and court rulings which impact the department
  • Personnel allocation

  • The Development and implementation of operating processes and procedures
  • Management and supervisory principals
  • Programming planning and detailed office practices and procedures
  • Computer applications such as; ACIS, Human Resources Information System (payroll), Local Area Network System/Wide Area Network System and personal computer applications

Selective Preference(s):
  • Minimum of 4 years administrative experience reporting to executive-level positions or administrators
