This position supports the technical administrative management of the Office of Business and Financial Services (BFS) units, this includes: providing primary support to the B&F Director’s office and teams; administering Google Sites, other online tools and supporting coordinating data governance activities. You will also lead both technical and non-technical projects, perform project management and coordinate delivery on projects including problem solving and data analysis.
Primary Responsibilities:
● Performs administrative and project management tasks to support the BFS teams in administration of BFS Google Sites, BFS Trello boards and contributing metrics and reporting coordination.
● Supports data and file governance activities.
● Organizes electronic files and assists with documentation of file management procedures.
● Provides administrative assistance for BFS units in coordinating problem solving and continuous improvement activities.
● Leads process documentation and mapping improvements and other continuous improvement projects.
● Manages assigned projects and collaborates with others to support projects.
● Works cross-functionally to assist BFS teams in process improvements.
● Supports BFS Directors Office in interactions with all levels of agency management.
● Ability to successfully negotiate and maintain interpersonal relationships with all levels of the agency.
● Knowledge of managing computer hardware and software, office software, spreadsheets, databases; principles and practices of administration and team project management.
● Knowledge or the ability to learn and apply LEAN concepts
● 3 years’ experience working in an administrative capacity for senior management in a technical/IT environment; extensive background in office management/protocols utilizing office software, problem solving, and record-keeping.
● Strong customer service skills; strong ability to communicate both orally and in writing; robust listening and follow through skills with stakeholders and customers.
● Experience in planning, coordinating, analyzing, and establishing priorities.
● Experience in developing operating and standard work procedures, including process mapping.
● Proficiency with computer applications including Google Suite including Sites, Microsoft Word, Excel, PowerPoint.
