Job Summary:

As the Executive Staff Assistant for the Waste Programs Division you will support the administrative management of the Division Director and Deputy Directors office and provide administrative and technical support to both.

Job Duties:

Specific duties include, generating operational reports related to budget, generating presentations from outlines developed by the Division Director and Deputy Directors, identifying and analyzing administrative problems, making recommendations for improvement, writing correspondences for signature, functioning as the gateway to the Division Director and Deputy Directors for the public as well as staff; interacting and responding to queries from the Governor's Office, Agency Director, Legislators, US EPA, and the public.

Knowledge, Skills & Abilities (KSAs):
  • Excellent verbal, written and interpersonal communication skills.
  • Strong attention to detail and accuracy, ability to manage multiple tasks, take initiatives and drive projects.
  • Proficiency in MS Office, ability to compose correspondence, and generate reports.
  • Adept with laptop, multifunction phone, computer hardware and software, customer service techniques, office software, spreadsheets, databases, etc.; principles and practices of administration and team.
  • Must be able to learn agency organization, structure and key contacts; policies, forms, badging procedures, customer deliveries, fleet management and value stream structures; GAO policies as it relates to fund expenditures, travel, financial and procurement transactions; LEAN and the creation and maintenance of standard work, performance and flow boards.
Selective Preference(s):
  • Previous executive level administrative assistant experience required.
