Job Summary:

The HR Assistant, under minimal supervision, will perform administrative work of considerable difficulty in support of operations within the agency's Human Resources Office. Primarily, this position provides administrative support as required to the Chief Human Resources Officer, as well as to members of the Human Resources team. The HR Assistant will be responsible for organization and management of all hard copy and electronic filing systems in HR, composing letters, spreadsheets, PowerPoint presentations and designing, creating and managing HR forms for agency use. Additionally, this position screens incoming correspondence and phone calls, and provides service as needed to internal and external customers, conducts research as requested or needed for HR programs and operations. The HR Assistant will learn, implement and monitor the Arizona Management System (AMS) methods and utilizes AMS concepts and tools for problem solving and continuous work/process improvements such as updating and maintaining content and metrics on HR huddle board.

Job Duties:
  • Performs administrative work and provides administrative support to the Chief Human Resources Officer and members of the ADVS Human Resources team.
  • Composes letters, spreadsheets, and PowerPoint presentations.
  • Screens incoming correspondence and phone calls, and provides service as needed to internal and external customers.
  • Maintains personnel files, ensuring compliance with requirements stated in the State Personnel Rules.
  • Responsible for organization and management of all hard copy and electronic filing systems in HR, including personnel files, medical/benefits files, PD/classification files, recruiting files, and archived records/files; and ensures compliance with State Library and Archives record retention for these filing systems.
  • Assists with the planning and implementation of agency wellness and benefits events, and participates in the management of the agency's employee recognition program.
  • Processes and submits DPS Fingerprint Clearance Card applications, including coordination of payment fees.
  • Conducts research as requested or needed for HR programs and operations.
  • Produces and distributes the monthly agency org charts, and creates org charts on demand as needed.
  • Leads the design and creation of HR forms for agency use, and manages the revision and update of those forms as needed.
  • Ensures accuracy of information, forms and documents on HR page of agency intranet.
  • Learns, implements and monitors the Arizona Management System (AMS) methods.
  • Utilizes Arizona Management System concepts and tools for problem solving and continuous work/process improvements.
  • Updates and maintains content and metrics on HR huddle board.
  • Other duties as assigned, as related to the position
Knowledge, Skills & Abilities (KSAs):

Selective Preference(s):

Previous administrative experience in a human resources setting

Pre-Employment Requirements:

Position may require driving in the course of conducting State business. Requires the possession of and ability to retain a current, valid state-issued driver's license appropriate to the assignment. Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records and must complete any driver training (see Arizona Administrative Code R2-10-207.11).
