The Arizona Historical Society is looking for an HR Liaison who has experience in all disciplines of human resources and knowledge of procurement. The HR Liaison is responsible for I-9 completion, classification and compensation review, updating position descriptions, submission and tracking, processing new hire paperwork within HRIS (HR information systems), employee on-boarding, coordination of position recruitment.
In this role the HR Liaison will work with supervisors on employee performance monitoring, coaching, training, counseling and evaluations. Providing benefits information to staff, processing resignations and retirements. Coordinating and instructing staff, volunteers and board members on required training. Work with staff to process purchase requisitions in compliance with State of Arizona procurement rules.
-The HR Liaison will provide support to all areas of Human Resource which includes, but is not limited to, maintaining personnel records including electronic records in HRIS, updating job descriptions, I-9 completion and maintenance of records, classification and compensation, processing new hire paperwork, employee on-boarding, performance evaluations, interpersonal relations, and other related areas for the Division.
-Provide benefit information to employees including the distribution of enrollment guides and rates. Assist with new hire enrollments, qualified life events, FMLA, start dates, deadlines, etc.
-Supply staff with education/shopping discount program information, wellness information and programs. Coordinate and schedule Deferred Compensation benefits for staff..
-Typing, submitting, purchase requisitions, reviewing and approving requisitions for purchases from division staff to determine applicability and accuracy. Monitoring agency purchase orders and ensuring timely receipt, payment and closure. Assigned agency-wide delegated authority up to 50,000.00
-Coordinate and instruct staff, volunteers and board members on required training and additional materials in accordance with state and federal guidelines.
• Knowledge of Federal and State Statues, rules, practices and policies pertaining to human resources
• Knowledge of employee leave rules and processes, including FMLA
• Knowledge of State Personnel System Personnel Rules a plus
• Knowledge of recruiting practices and procedures
• Knowledge of EEOC/ADA requirements
• Knowledge of Human Resources and Procurement information systems and related software
• Knowledge of AHS policy and procedures
• Knowledge of performance improvement practices
• Skills in conducting complex research and analyzing and interpreting data for making recommendations on HR related matters
• Skills in identifying problems and suggesting solutions
• Skills in maintaining confidentiality, adhering to federal, state and department policies and procedures
• Skills in the use of standard office applications such as Microsoft Products, Google Apps, Adobe, Internet, HRIS, APP, Tracorp
• Skills in prioritizing and organizing multiple concurrent projects
• Excellent interpersonal and relationship building skills
• Excellent oral and written communication skills including public speaking
• Ability to adapt to changes quickly
• Ability to establish effective working relationships within the agency, public and divisions and respond with tact, diplomacy, accurate and appropriate information and in a timely manner
• Ability to communicate effectively, multi-task, set priorities and manage a diverse range of HR needs
• Ability to learn and work within each of the agency programs, polices, mission and procedures
• Ability to collaborate and work effectively with agency leadership and agency staff
