PROJECT MANAGER
INFORMATION, EDUCATION & RECREATION DIVISION / HEADQUARTERS
PHOENIX, AZ BASED
FLSA – Exempt / SALARY GRADE 20 / HIRING SALARY RANGE ($42,000 - $55,000)

The Project Manager will work under indirect or general supervision. This position will manage varied and complex administrative tasks in a high-volume environment for six branches as well as the Assistant Director and Division Coordinator and will utilize an automated task management system to self-assign work, track assignments, and communicate with requesters.
Major duties will include:
- Procurement: entering requisitions in system; monitoring/tracking purchase order process; resolving any issues, in a timely manner, to ensure deadlines are met; receiving items, reviewing and submitting invoices; ensuring orders are appropriately closed; assist in training new administrative personnel on procurement system.
- Coordinate travel for internal and external customers.
- Actively participates in agency events: Expo, Legislative Day, Outdoor Recreation Business Summit, Marketing Partnerships, Onboarding Program. May act in a coordination capacity for Divisional events by: creating/managing registration, coordinating tent/booth layout with participants, ordering any necessary equipment, preparing name badges, preparing/distributing event flyers.
- Inventory steward, maintaining Divisional office supplies, process donations, run budget reports, process grant applications, invoice and reconcile P-card/Travel card.
- Assists customers with Hunter Ed questions/inquiries via phone and email; ability to navigate a variety of databases.
The candidate must have knowledge in office practices and operating procedures; Google Docs, Sheets, Slides; budget reports; proprietary databases; procurement process and understanding of management practices. The candidate must be skilled in customer service; organization; detailed work; oral and written communication; working with teams or individually; collaboratively working with all levels of personnel both internal and external and problem solving. The candidate must have the ability to remain calm in stressful situations; plan, coordinate, analyze and establish priorities; multi-task; train new employees; adapt and be flexible to changing situations/environments; learn and implement new tasks quickly.
The ideal candidate will have 3+ years of administrative experience, with demonstrated involvement in project coordination or project management; problem-solving, independent thinker able to contribute constructive suggestions to improvement of processes/procedures. Comfortable working in a team setting and with all levels of personnel. Adaptable and flexible with a positive attitude.

Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
