Job Summary:

The Arizona Attorney General’s Office Civil Litigation Division is seeking a Legal Administrative Assistant to provide administrative and secretarial support to positions throughout the Consumer Protection and Advocacy Section including the Civil Litigation Division Office Administrator.

Job Duties:

This position will prepare a variety of complex correspondence, pleadings, motions, petitions, briefs, and legal forms. Answers inquiries from consumers, court personnel and others regarding case activity and status. Process mail, schedule appointments, and handle scanning, copying and filing. Will provide training and back-up assistance, as needed, to legal secretaries, paralegals and the receptionist.
This position will have access to highly confidential matters, such as investigations, litigation, case strategy, case evidence, and witnesses. In addition this person will have access to confidential information and reports of administrative and budgetary nature. Discretion and confidentiality are of the utmost importance in this position.

Knowledge, Skills & Abilities (KSAs):

*Knowledge and understanding of principles and practices of performing administrative and secretarial functions of a responsible nature.
*Must demonstrate a proficiency in computer skills including but not limited to MS Word and Excel.
*Knowledge of computer databases and ability to update and maintain information.
*The principles, concepts, practices, methods and techniques common to a modern law office.
*Understanding of the attorney/client relationship including the need for confidentiality and discretion.
*Skill in oral and written professional communications.
*Experience in compiling data and incorporation of data into written reports.
*Managing and handling a heavy work load under pressure with multiple deadlines.
*Grammar, punctuation, spelling, basic editing, formats of a wide variety of legal documents, rules and procedures of all Arizona state and a variety of federal courts.
*Ability to type approximately 45 wpm.
*Ability to plan, analyze, and coordinate multiple work activities and establish appropriate priorities.
*Establish and maintain effective and cooperative working relationships.
*Ability to handle a high volume of work and stressful situations.
*Ability to track court actions in various states.
*Ability to utilize automated case management systems and follow office procedures for maintaining and tracking records.
*Employee must also be able to compose correspondence and to assist attorneys in organization of material and preparing for trial.
*Must be able to use tact and diplomacy in dealing with other agency employees and high-level public officials.

Selective Preference(s):

Bilingual skills in English and Spanish preferred but not required.
