Job Summary:

Provides legal secretarial support for the nursing education department focusing on the approval, investigation and monitoring of nursing education programs and complaints regarding faculty conduct; requires experience with administrative law; performs related work as required. Work product consists of accurate and timely preparation of a wide variety of complex legal documents, including investigation reports and consent agreements; accurate and timely maintenance of legal records and case tracking systems; appropriate screening of a wide variety of calls, handling correspondence, and greeting visitors. Responsible for the quality and timely completion of complex legal documentation; monitoring the appropriate completion of legal notices/forms; providing information in response to complex inquiries; and overall departmental administrative support.

Job Duties:

Provides legal secretarial and office administrative support requiring considerable knowledge of legal procedures, forms, and documents. Also provides legal secretary support to Board attorneys. Prepares a variety of complex legal correspondence, using technical knowledge and expertise. Completes legal notices and forms from standard templates and paragraphs. Exercises discretion in the preparation and processing of legal notices and other legal forms in accordance with established legal requirements. Answers a variety of inquiries concerning the progress of investigations or legal actions. Seeks guidance from Chief Counsel regarding proper procedures. Completes data entry in electronic databases and maintains follow-up records relating to department legal matters. Receives and screens a variety of correspondence, visitors, and telephones calls. Provides guidance and technical direction to other board employees as requested. Provides support in taking and preparing Board Meeting and committee minutes. Provides staff support for the Scope of Practice Committee and other committees as assigned. Electronically files AdobeSign document submissions and Board documents. Updates Nurse Practice Act when laws or rule changes are enacted or approved. Creates simple forms and surveys. Other duties as assigned as related to the position.

Knowledge, Skills & Abilities (KSAs):

Arizona Nurse Practice Act related to Educational Programs and standards of nursing practice; Legal forms and formats sufficient to prepare investigative reports and consent agreements, decisions and to compose general correspondence; General administrative law and policies and procedures for case management; Windows, Google Suite, and Word, Excel, computer-based case management systems and portals, as well as office equipment; English grammar and usage, in addition to legal and medical terminology sufficient to effectively prepare orders, decisions and correspondence. Organizational skills; Typing, word processing, and proofreading, Oral and written communication, Time management, Excellent customer service. Effectively manage projects and meet deadlines; Manage a heavy workload with a high level of accuracy and production; Review and interpret ALJ reports; understand laws, rules, policies, and procedures; Effectively and accurately develop and use legal case management systems and computer portals; Recognize and engage those with different backgrounds, characteristics, and perspectives to bridge gaps in understanding of differing viewpoints, as well as ensuring persons with diverse perspectives are given the opportunity to collaborate and provide input.



Selective Preference(s):

5 years experience as a legal secretary or any equivalent of experience, training, and education.
