Job Summary:

The ADOA Mail Room provides inter-agency mail service to 93 state agencies and processes approximately 1,000,000 pieces of outbound mail (US Mail & FedEx Mail) a year for 70 state agencies. This position will sort inbound mail, prepare tracking sheets for signature mail as needed, participate in security screening when needed, load vehicle, deliver, and collect mail on an assigned mail routes daily, prepare & process outbound mail through postage meter, prepare & process outbound FedEx/UPS, prepare & process packages for various inter-agency shuttle services, and prepare for various postage and package delivery vendor pickups. Additionally, this position will prepare and process inbound mail for various agencies that utilizes the mail scanning and electronic delivery service. It will operate the bar-coding software, print submitted jobs, and operate a folder/inserter and submit the completed jobs to be processed for postage. This position will assist in reconciling warrant stock, printing warrants, and preparing warrants for mailing. This position will interact with ADOA mail room customers directly or over the phone for general & specific mail room questions. This position will act as lead for mailroom staff including answering their questions, giving them direction, and training. This position will be the backup to the mail room supervisor and their duties including the mail room billing function. This position must coordinate time off with the supervisor to ensure proper mail room supervision.

Job Duties:

-Perform, train, and give oversight for accurate sorting of inbound U.S. mail and inter-agency mail
-Prepare tracking sheets for signature mail as required
-Loading of vehicles for mail distribution
-Work with staff to optimize delivery and collection methods
-Perform, train, and give oversight for the outbound mail process to include, but not limited to, postage meters and prepare for various postage and package delivery vendor pickups
-Perform, train, and give oversight for security screening as required for Governor's Office inbound mail, including x-raying, operating bio-hood, opening, inspecting & reading mail
-Support and look for ways to expand services that help state agencies save money, such as virtual mail service, printing, folding, and inserting, and printing services
-Look for creative ways to promote mailroom services
-Act as mailroom lead and supervisory backup
-Perform, train, and give oversight to mailroom duties such as virtual mail service, printing, stuffing, folding, document scanning, and warrant processing
-Other duties as assigned as related to the position

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
-FedEx shipping software
-Courier routes
-Customer service
-Postal and other shipping services
-U.S. postal regulations
-Basic mathematical calculations
-Scheduling techniques
-Office procedures

Skilled in:
-Operation and basic maintenance of postal equipment
-Operation and basic maintenance of automated letter openers
-Operation of x-ray equipment
-Operation of bio-hood/purifier hepa filter
-Operation of mailroom vehicles
-Operation of mail scanner
-Operation and basic maintenance of the folder/inserter
-Operation of barcoding, Business Manager, and other software

Ability to:
-Follow written and verbal instructions
-Determine when bio-hood should be utilized
-Determine appropriate shipping methods
-Identify potential threats with mail
-Operate postal machines
-Handle medium-weight objects without incident
-Operate vehicle for deliveries
-Maintain records and update files

Selective Preference(s):

-3+ years of experience in operations management
-Bachelor’s degree in Business or related field
-Experience managing a state or similar level program

Pre-Employment Requirements:

-Background and reference check, which could include a fingerprint check
-Requires possession of and the ability to retain a current, valid state-issued driver’s license appropriate to assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records and must complete any required driving training (see Arizona Administrative Code R2-10-207.12).
