Job Summary:

Under general supervision of the Licensing Division Manager, this position exercises judgment within established guidelines. The Optical Disk Input Tech is responsible for organizing licensing files and processing through sorting, batching, scanning and routing of documents using optical disk electronic filing system tools. Must ensure acceptable quality of final image and uploading of electronic files to their proper destination. Effectiveness of the filling system is dependent upon the accuracy and quality of work performed by this position. To this end, high typing speed and accuracy rates on traditional alpha-numeric and 10-digit numeric keyboards is a must. Position further performs agency cashier duties and fulfilling public records requests for documents. The cashier function requires knowledge of US Currency exchange practices along with strong math and analytical skills. Licensing transactions are done using the agency's electronic licensing data-base system and external tools. The public records function requires reading and comprehending technical documents and laws thus general English literacy with the ability to learn electronic redaction software is needed. Lastly, the position performs other general clerical and customer related duties as assigned.

Job Duties:
  • In this position, you will be responsible for:
  • Reviewing, Preparing and inputting all documents for the scanning and indexing in the imaging system.
  • Receiving moneys for various fees; reviewing moneys to ensure correct amount is received; reference documents to a license number; processing payment and issue receipt; issuing license if appropriate.
  • Examining intricate legal documents which include judicial foreclosure, seizures, warrants, court orders, partnership agreements and contracts, corporate documentation to determine legal compliance with relevant laws, rules and regulations also to be certain they are correctly encoded into database.
  • Communicating with business representatives, adjusters, wholesalers, attorneys, staff members and the public providing information pertaining to records.
  • May perform other general clerical duties and performs related work as required.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Types of documents and processes; sorting, batching and routing procedures; optical disk electronic filing system procedures.
  • US Currency exchange practices.
  • Adobe Acrobat Pro or similar electronic redaction software.
  • LEAN processes.

Skill in:

  • Operation of optical disk scanning and verification equipment; sorting, routing and evaluation of quality of scanned documents.
  • Use of the agency's licensing system, external financial transactional devices, and cash handling to record and complete licensing business transactions.
  • Read and comprehend technical documents and laws.
  • High typing speed and accuracy rates on traditional keyboard and 10-digit numeric keyboard.
  • Basic computer email and word processing capability using software such as Microsoft Word, Google Docs, and Gmail.
  • Ability to write business professional correspondence.

Ability to:

  • Plan, analyze, coordinate activities and establish priorities.
  • Develop effective operating procedures.

Selective Preference(s):
  • Experience working in a business office or a governmental licensing agency; classes in oral communications would also be advantageous.
