PROCUREMENT TECHNICIAN

Job Summary:

• This position is responsible for procuring commodities and services requested by ADE programs statewide, within delegated procurement authority and in accordance with applicable policies and procedures.
• Responsibilities include receiving, preparing, and entering requests for commodities and general services, and managing transactions through the State’s e-procurement system.
• Rare in-state travel may be required.

The Arizona Department of Education currently utilizes a hybrid work environment, with up to two days of remote work (contingent upon business needs). Candidates should apply with an ability and willingness to work in-office up to five days per week as business needs necessitate.

Job Duties:

• Receive, review, and process requests for assigned commodities and services, ensuring accuracy and compliance with procurement guidelines.
• Research available contracted items and determine the appropriate sourcing method in alignment with Statewide contracts and procurement policies.
• Issue purchase orders and conduct small-dollar purchases for assigned commodities and services within delegated procurement authority in accordance with the Arizona Procurement Code and agency policies and procedures.
• Maintain accurate and up-to-date records within designated procurement databases.
• Create, update, and generate reports as requested by the Chief Procurement Officer, Procurement Services Supervisor, and/or department management.
• Conduct vendor outreach and provide technical assistance to internal and external customers to support procurement activities and ensure compliance.

Knowledge, Skills & Abilities (KSAs):

Knowledge in:
• Basic processes of purchasing and procurement
• Arizona Procurement Code and related guidelines
• General purchasing and contract processes
• Basic accounting and budgeting concepts
• Office procedures and data management practices
Skills in:
• Providing courteous and professional customer service
• Clear written and verbal communication
• Using an e-Procurement or similar purchasing system
• Performing accurate data entry and document processing
• Identifying and resolving routine issues
• Using Microsoft Word, Excel, and PowerPoint at basic to intermediate level
Ability to:
• Understand and follow policies, procedures, and instructions
• Work efficiently under deadlines and manage multiple tasks
• Collaborate effectively with team members and internal and external customers
• Communicate clearly and professionally
• Learn new systems and processes quickly

Selective Preference(s):

Preference will be given to those applicants with:
• Experience processing purchase requisitions, purchase orders or invoices in a high-volume environment
• Professional certification such as a Certified Public Purchasing Buyer (CPPB) from a professional purchasing organization

Retirement:

You will be required to participate in the Arizona State Retirement System (ASRS) upon your 27th week of employment, subject to waiting period. On or shortly after, your first day of employment you will be provided with enrollment instructions and effective date.
