Work Hours: Monday through Friday 7:00am – 3:30pm with the potential to work 4/10’s after training is completed.

Job Summary:

Responsible for the technical management of the fleet information infrastructure including the development of policies, business practices and operational procedures which supports the ADOT statewide Fleet Management function. Responsible for the development, coordination and training of information based business processes for the Fleet Management group and responsibility of fleet and financial data integrity. Oversees all MVD processes and documentation related to the purchasing, titling, licensing, inventory and disposal of State mobile fleet

Job Duties:

Primary customer service support for fleet auction sales. Assures data integrity of Fleet Management databases, interfaces with customer in the receipt of used equipment and issuance of new equipment and processes equipment transfers. Responsible for Equipment Services' equipment and fixed assets

Provides administrative support to the Fleet Manager and Get Ready areas. Processes equipment buys and creates and maintains spreadsheets for tracking purposes. Manages vehicle auction customer issues. Processes customer invoice, bill of sale and vehicle titles.

Creates and maintains spreadsheets for the tracking of equipment expenditures and balances budget for Year End processing. Create electronic equipment master files for all new vehicle purchases. Will maintain procurement and fiduciary integrity in accordance with all applicable state laws, and codes.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
• Fleet Management and Equipment Services databases.
• Automotive and truck repair practices.
• MVD Third Party procedures and practices.
• Notary Public procedures and practices.
• State Procurement laws, codes and practices.
• General business administration practices.
• Basic accounting practices.
• ARS Title 28.
• Inventory and fixed asset practices and processes.

Skill in:
• Oral and written communication techniques.
• Computer programs (Microsoft Google Workspace to develop custom reports and transfer of data in various forms of electronic and written format).
• The general use of office equipment.
• Analyzing and evaluating a wide variety plans, projects, and work order practices/information.

Ability to:
• Develop and coordinate operating procedures, analyze problems and design effective plans for program improvement.
• Show meticulous attention to detail and accurate data entry.
• Work independently.
• Produce clear and effective correspondence and reports.
• Pass a comprehensive background investigation.
• Multi-task and handle competing demands.

Selective Preference(s):

Three years administrative experience with Fleet Management processes.

Pre-Employment Requirements:

Will be certified as a Third Party MVD operator and Notary Public or ability to obtain certification within the 5th month of employment.

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
