This position will function as a Grant Contract Administrator for Arizona Biomedical Research Centre (ABRC). Under the general direction of the ABRC Program Manager, they will oversee the daily operations of various Grant Programs (such as Biomedical Research, Marijuana Research, Psilocybin Research, Cord Blood, and Research Education). They will facilitate communication with stakeholders and contractors, ensure timely submission of required documentation from and payment of vendors and contractors, participate in program development, coordinate with stakeholders, evaluate submissions for completeness and compliance, participate in meetings, respond to inquiries by phone and email from internal and external stakeholders. This person is responsible for providing administrative support for any oversight groups (i.e. Psilocybin Research Advisory Council), such as: note-taking, minutes, coordination of compliance with open meeting laws, arranging or coordinating travel for stakeholders and team members, preparing and posting agendas, preparing briefing packets, drafting documents and correspondence for manager's approval, and other duties as assigned.
Coordinate and track the submission of reimbursement requests and program progress reports by contractors and grant recipients, prepare documents for program manager's approval and timely payment by ADHS.
Provide administrative support to grant programs of the Arizona Biomedical Research Centre: Coordinate, facilitate, and/or participate in meetings; prepare and post meeting agendas; prepare meeting packets and briefing materials for attendees; take notes (or minutes);
Coordinate the preparation of grant solicitation scope of work and amendments; coordinate the solicitation, participate in review, and awarding grant funding with ADHS Procurement personnel under the direction of the advisory council (if applicable) and with manager's approval.
Provide technical assistance to internal and external partners, vendors, and contractors. Coordinate the procurement of supplies, materials, and services in support of the program.
Coordinate adherence to open meeting laws; appropriately file and track all grant and meeting documents in accordance with State public records laws and guidelines; and participate in conferences, meetings, training, and workshops.
Arrange and coordinate in-state and out-of-state travel for stakeholder and team members.
