This position directs and provides centralized administrative and logistical support to the Adjudications Division. Many of the duties of this position are highly confidential in nature.
A hybrid work schedule (some work in the office and some work from home) is available for this position. Duties include, but are not limited to: management of the Division's complex electronic and physical library; review of policies and procedures and recommendations for improvement; review and formatting of complex reports intended to inform the public; budget tracking for the division; administrative support, including scheduling, coordination of necessary procurement, and travel; organization and management of the Division's webpage. This position requires the ability to multi-task, work independently and contribute to a positive team environment.
The ideal applicant will have knowledge of: the principles and practices of administration and management; database entry; records management procedures; appropriate safeguards for protecting confidential information; and problem solving techniques.
The ideal applicant will have skills in: completing administrative task in a timely and accurate manner; concise and effective oral and written communication with internal staff and external contacts; problem-solving, including complex analytical work; handling detailed work with accuracy and speed; prioritizing, scheduling and monitoring work activities of staff; researh and attention to detail; and customer service.
The ideal applicant will have the ability to: work independently and make a variety of decisions to implement Division goals without close supervision; complete repetitive and sometimes boring administrative tasks; communicate concisely and effectively in oral and written communications; solve problems, including problems requiring complex analytical thinking; handle detailed work with accuracy
Candidates should have a minimum of three years of responsible administrative experience equivalent to or above Administrative Assistant III level (supporting executives or senior level staff), or equivalent combination of education and administrative experience. Experience in legal administrative support and/or document management preferred.
