Job Summary:

ADOA-ASET develops and executes the statewide IT strategy for Arizona state government and provides IT infrastructure and services to state agencies to ensure continuity of mission critical and essential systems. ASET is managed by Arizona’s State CIO and serves as an information technology leader for AZ government. ASET’s Enterprise Program and Project Management Office (EPMO) provides project management services that align to Arizona’s Strategic IT Plan. The IT Project Coordinator will coordinate activities, documentation and resources in support of IT portfolios, programs, projects, processes, tools and personnel.

Job Duties:
  • Support Project Managers in project management of multiple projects; Develop and maintain project schedules, monitor and report on deliverables, milestones and tasks; Coordinate meetings and prepare meeting minutes; Develop PM documentation including communication plans, risks, issue logs, etc; juggles competing priorities; reports and dashboard in the project management tool utilized within our team. 
  • Assist EPMO manager with tasks to manage and coordinate activities of the EPMO; develop tracking system for extensive EPMO documentation and organize into Smartsheet or electronic folders; Organize team monthly activities and meetings; Manage team huddle board; Support administration of Project/Portfolio Management tool. 
  • Perform analysis; Develop/present reports, presentation, and metrics; Communicate with multiple stakeholders, each with different reporting needs/requirements; Elevate issues to the attention of the PM, Tech Lead or Sponsor as appropriate; Document lessons learned and other project related documents. 
  • Contribute to the EPMO process improvements and personal development to advance knowledge and skills for building a better team/program. Other duties as related to the position.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Project management tools (Smartsheet) creating and maintaining reports and dashboards

Skill in:

  • Strong Analytical skills, such as investigative approach, logical thinking, interpretation and problem handling.
  • Great soft skills

Ability to:

  • Document processes and templates in a clear, consistent, and unambiguous.

  • Requires possession of and ability to retain a current, valid state-issued driver license appropriate to the assignment. Employees who drive on state business are subject to driver license record checks, required to maintain acceptable driving records and complete any required driver training (see Arizona Administrative Code R2-10-207.12)
