Job Summary:

The ideal candidate will work under the general supervision of the Executive Secretary 1, they provide basic clerical and administrative support to the staff and visitors at the Arizona State Veteran Home in Phoenix (ASVH-P). Greets and directs visitors, volunteers, and vendors. Directs and routes phone calls to appropriate department. Answers routine questions and furnishes general information. Monitors and documents residents arrival and departure from facility. Maintains correspondence and sign in documentation. Occasionally deals with sensitive and confidential information. Processes mail, and reconciles meal and jean funds. Learns, implements and monitors Arizona Management System (AMS) methods. Utilizes AMS concepts and tools for problem solving and continuous work/process improvements and efficiency.

Job Duties:
  • Provides clerical support functions for ASVH-P.
  • Greets clients/visitors and screens for appropriate action.
  • Directs and routes phone calls; takes messages as needed. Answers routine questions and furnishes general information.
  • Occasionally deals with sensitive and confidential information.
  • Provides coverage for ASVH-P reception area.
  • Communicates through PA system annunciator announcements and two way radio appropriately.
  • Articulates multi-line telephone system, receives special deliveries, processes mail/packages to mail room, processes "jean day" and daily purchased meal funds.
  • Monitors and maintains sign in logs: external staff, visitors, vendors, and residents upon entry and exit. Does visible, walking ground checks on residents on front portico.
  • Monitors live video feed around the building.
  • Actively involved in AMS processes such as Huddle Boards, Problem Solving, Job Breakdown Sheets, Success Tracking, and Standardized Work.

Knowledge of:

  • Rules, policies, procedures, and practices; procedures of ASVH-P
  • Business English, spelling and basic math
  • Office procedures and equipment operations
  • Appropriate safeguards for protecting confidential data

Skills in:

  • Effective verbal and written communication skills
  • Interpersonal and customer service skills
  • Use of multi-line telephone
  • Common business computer applications such as Microsoft Office Suite, Adobe Acrobat Pro, and use of the Internet
  • Organizational and time management skills
  • Research and basic problem solving skills

  • Set up and maintain paper and electronic files
  • Interact professionally and respectfully with internal and external customers
  • Maintain and protect confidentiality
  • Learn and effectively utilize AMS methods for problem solving and work efficiency
Pre-Employment Requirements:
  • Position requires driving. Valid Arizona Driver's License is required.
  • Employees who drive on state business are subject to driver's license record checks, must maintain acceptable driving records and must complete any driver training.
  • This position is subject to the vaccination requirements outlined in CMS Interim Final Rule - Medicare and Medicaid Programs; Omnibus COVID-19 Health Care Staff Vaccination (published November 5, 2021) (86 FR 61555)
  • Current Negative Tb skin test (Mantoux skin test) within the last 6 months or a written statement from a physician, physician’s assistant or a registered nurse practitioner indicating freedom from tuberculosis, if in the past has had a positive skin test or tuberculosis
