The Department of Economic Security, Division of Developmental Disabilities (DDD), is seeking an experienced and highly motivated individual to join our team as a Secretary to provide administrative support services to one or more individuals within the DDD.
This position has a significant amount of public contact with administrators, parents, individuals, contracted providers, and stakeholders. With minimal direction, receives and screens incoming correspondence and telephone contacts directed to the manager in a professional manner and uses sound judgment in determining the course of action.

Applicants for this position cannot be licensed or certified by the DDD Office of Licensing Certification and Regulation, cannot have a principal interest in or have spouse or close family with principal interest in a DDD Qualified Vendor Agreement, and cannot be employed or subcontracted by a DDD Qualified Vendor.

Job Duties:

Essential Duties and Responsibilities include but are not limited to:

  • Answers the phone, greet visitors and provides a variety of information related to the Division’s services. Appropriately routes calls and visitors.
  • Types a variety of forms, letters, memos and reports using Microsoft Office programs. Maintain office files.
  • Opens, sorts, prioritizes and distributes incoming mail and faxes.
  • Composes letters and memos for a variety of purposes, using correct grammar, punctuation, and sentence structure.
Knowledge, Skills & Abilities (KSAs):

Knowledge of:

  • Basic office procedures.
  • Proper grammar, sentence construction and punctuation.
  • Telephone and customer service techniques.

Skills in:

  • Accomplishing detailed work with speed and accuracy.
  • Prioritizing a heavy workload.
  • Operating a variety of office equipment, (e.g., copy machine, fax, etc.).

Ability to:

  • Transcribe dictated materials.
  • Follow written and verbal instructions.
  • Collect and organize data.
  • Greet and assist the general public and visitors with tact and diplomacy.
Selective Preference(s):

The ideal candidate for this position will have:

  • Experience in an office setting.
  • Experience using computer systems (e.g., Microsoft Word, Excel, Google etc.) is highly desirable.
  • Preferably bilingual in Spanish, but not required.

Retirement:

State employees are required to participate in the Arizona State Retirement System (ASRS), the State sponsored retirement contribution plan and the Long-Term Disability (LTD) program after a 27-week waiting period. The ASRS defined benefit plan provides for life-long income upon retirement. You will also have the option to participate in a voluntary deferred compensation program to take advantage of tax-deferred retirement investments.
