Job Summary:

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is looking for an upbeat multitasker with great communication skills. This position performs moderate to complex administrative support duties for the Time Computation Unit.

Job Duties:

- Composes and types routine correspondence
- Organizes and maintains routine and confidential files, correspondence, and other records
- Establishes, develops, maintains, and updates the filing system for the Time Computation Unit
- Retrieves information from files when needed by the Time Computation Tech Specialist
- Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, clients, or customers
- Processes intake packets received from reception areas and maintains monthly tracking log and daily counts of all incoming packets
- Maintains, tracks, and annotates in ADCRR automated system for files pulled for release
- Maintains Tentative Release (TR) list for inmates whose release dates are coming up on a weekly and in some instances bi-weekly basis
- Reads, routes, and responds to incoming and outgoing letters, including e-mails, and faxes
- Drafts written responses for Sentence Calculation Analyst review when necessary
- Responds to regularly occurring requests for information from the public, law enforcement agencies, the court, county attorneys, attorney general’s office, and other correctional agencies
- Reads, analyzes, and interprets court documents received, verifies necessary entries on the ADCRR automated system, ensuring data is accurate for the analyst
- Maintains assignment logs, completing appropriate filing on a daily basis, copying and distribution as required
- Pulls files, placing them on release shelves or provides them directly to the analyst for immediate action as required
- Assists and backs up other support staff
- Trains new incoming staff on the procedures and processes of the unit
- Drives on State business
- Performs other duties appropriate to the assignment

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- State and Federal laws, ADCRR department policies and procedures
- Routing and memo composition
- Proper English usage, spelling, vocabulary, and arithmetic
- Modern office practices and procedures, including filing and standard office equipment operation
- Personal computers and software including Microsoft Office and Google Suite

Skill in:
- Verbal and written communication
- Understanding legal terminology
- Gathering information
- Maintaining and updating inmate’s files
- Effective phone etiquette
- Researching information to prepare reports
- Working on multiple tasks/assignments simultaneously and providing a high level of customer service

Ability to:
- Follow written and verbal instructions
- Ensure conformity in day-to-day operations with agency and department procedures
- Set up and type complex reports
- Screen and refer incoming correspondence and requests
- Work with material of a technical and/or confidential nature
- Work cooperatively with others and deal with the public using appropriate tact and resourcefulness
- Learn and understand the terminology used in the Sentence Calculation Unit

Selective Preference(s):

- One (1) year or the equivalent of clerical experience
- High School Diploma or General Educational Development (GED)

Pre-Employment Requirements:

Requires attending a paid Time Computation Certification training program to learn the calculation terminology, methodology, and techniques to accurately calculate applicable release eligibility dates. Applicants must achieve a passing grade of at least 85% or higher on the Final Exam for retention in the position.

Requires possession of, and ability to retain a current, valid state-issued driver’s license appropriate to the assignment. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete any required driver training (see Arizona Administrative Code R2-10-207.12).

Employment is contingent on the selected applicant passing a background investigation.
