Job Summary:

Responsible for performing construction office administration duties such as inputting data, procurement of material and services, budgeting, construction project cost accounting and related clerical services. Responsible for monitoring project timelines, compliance with established standards. Maintain required documents and ensures accuracy on contract items including certified payrolls, supplemental agreements and contract pay estimates. Maintains construction records.

Job Duties:

Review for accuracy and/or prepare contract documents related to financial documents for construction projects. Prepare and generate construction project documentation for project administration to ensure conformance with all applicable laws, rules regulations and standards.

Prepare and complete various project reports; use system to create daily diaries and pay quantities; use programs to monitor project budgets, progress payments and generate monthly estimates. Review construction plans, specifications and documentation to ensure compliance with federal, state and local requirements.

Maintain project files, assist with checking force accounts, monitor and check contractor certified payrolls and prepare and complete project closeouts.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
- The principles and practices of business administration to include but not to limited to business math, accounting principles and English/grammar.
- Agency rules, regulations and operating procedures.
- Construction inspection methods, procedures and techniques.
- Various computer programs and systems as related to office work and highway construction.

Skill in:
- Written and verbal communication.
- Analysis and preparation of data.
- Organizing and prioritizing work assignments.
- Operation of equipment for completion of assigned duties.

Ability to:
- Plan, coordinate, analyze, establish priorities and perform tasks.
- Safely operate a State owned vehicle.
- Problem solve.
- Adjust to a changing environment.
- Provide quality customer service.

Selective Preference(s):

Experience with procurement systems, high school diploma or GED.

Experience in administrative or advance engineering construction record maintenance; construction plan and specification review.

Pre-Employment Requirements:

This position requires driving or the use of a vehicle as an essential function of the job, and the following requirements apply. Any employee operating a motor vehicle on State business must possess and retain a current, valid class-appropriate driver’s license, complete all required training, and successfully pass all necessary driver’s license record checks. The license must be current, unexpired, and neither revoked nor suspended. Employees who drive on state business are subject to driver’s license record checks, must maintain acceptable driving records, and must complete all required driver training. An employee who operates a personally owned vehicle on state business shall maintain the statutorily required liability insurance (see Arizona Administrative Code (A.A.C.) R2-10-207.11).
